PART-TIME ADMIN ASSISTANT B

Job description

Duties: The Administrative Assistant is responsible for completing all required program administration and for providing the highest level of service to the Penn GSE Project Based Learning (PBL) Certificate Program team.

The Administrative Assistant will respond to participant questions in advance of program, manage the participant application process, and provide essential communication to participants. The Administrative Assistant will work with the Program Director, Research Director, and Principal Investigator during the program planning process, including processing instructional coaches and graduate student appointments.

The Administrative Assistant will be responsible for maintaining an organized research database that includes transcriptions, videos, and other data. To keep this database up-to-date, the administrative assistant will be in frequent communication with research staff and instructional coaches.

The Administrative Assistant will make complex, multi-leg domestic travel arrangements for program participants and instructors, processing timely and accurate travel reimbursements. The Administrative Assistant will also help manage a complex program calendar, and act as a liaison for the program team with internal and external constituents. Finally, the Administrative Assistant will perform additional duties as assigned.

Position is Contingent Upon Funding

Qualifications: Bachelor's degree is strongly preferred. High School Diploma and at least 3 years of experience or equivalent combination of education and experience required.

Must be detail oriented, highly organized, and reliable, with the ability to multi-task, plan, prioritize, project manage, execute multiple responsibilities, and work independently. Excellent oral and written communication skills are required. Experience coordinating training programs or special events in a corporate or university environment is preferred.

Proficiency with Outlook, PowerPoint, Excel and ability to easily adapt to new systems.
