Transfers must be within two salary grades. The Civil Service list for this position might provide insufficient acceptors, therefore, a provisional appointment may be made. Those scheduled to take the October 28th, 2017 Office Assistant 2 (Calculations) Civil Service exam are encouraged to apply. Any provisional appointee will be required to take the next Office Assistant 2 (Calculations) Civil Service exam, pass the exam and have a reachable score to be permanently appointed and to retain employment.

Brief Description of Duties: The Office Assistant 2 (Calculations) administers all student receivable functions pertaining to the graduate scholarship fund. This includes adjusting waiver data, investigating student accounts, communicating with departments and the graduate school. Performs all transactions relating to updates, additions, and corrections received from the graduate school.

  • Responsible for employee tuition waiver data. Performs all transactions relating to updates, additions, and corrections received from Human Resources. Works with the Accounting office to verify non-SUNY SB waivers.
  • Responsible for employee LEAP vouchers. Posts these vouchers to the Financial Aid system in order for the monies to be disbursed to the students' accounts. Reviews and verifies end of semester updates. This includes the confirmation of student grades received, classes being taken by each student, and class taken being listed correctly on the vouchers.
  • Performs clerical work necessary in keeping various financial records, accounts and processing activities for the University. This includes adjustments, cancelations of waivers and preparing account statements and reports.
  • Provides professional counter service for students. Responds to inquiries made by parents, students, and staff. This requires a working knowledge of the billing system as well as the functions and operations of other student services office including Financial Aid, Registrar, Campus Residences, and Meal Plan.
  • Assists in daily operations of Students Accounts and Parking Services. This includes helping staff members with problem accounts and training new staff members.
  • Other duties or projects as assigned as appropriate to rank and departmental mission.
Special Notes: This is a full-time position, 37.5 hours per week, Monday through Friday, 8:30 a.m. to 5:00 p.m. FLSA Nonexempt position, eligible for the overtime provisions of the FLSA. Internal and external search to occur simultaneously. Mandatory rehire roster candidates have preference.
