Job Summary:

The University of Colorado BioFrontiers Institute is accepting applications for a Program Manager. This position is responsible for supporting the planning, logistics, and coordination of special programs or events for the BioFrontiers Institute, and serves as part of the Institute's Advancement team.

The Program Manager reports to the Assistant Dean for Advancement at the BioFrontiers Institute and will assist in the development and management of program budgets, donor communications, and grant writing.

What your key responsibilities will be:
  • Assists development staff in identifying, cultivating, soliciting and stewarding donors and prospective donors. Utilizes data from central database to create requested reports, spreadsheets and correspondence on a routine basis.
  • Assists development director in donor relations, as it relates to prospect research, identification and communication. Connects with potential donors in written communication, phone and/or in person to help identify and prioritize opportunities for future interactions with the donor.
  • Assists in organizing and/or providing donor/potential donor tours as necessary.
  • Prepares briefing papers for development officers and appropriate faculty members.
  • Performs a distinct communications and alumni relations function, such as website management; social media; photography and videography; newsletter, press release, and print material development; database and email management, etc. May create or modify marketing plan to enhance communication related to program. May create lists, labels, signs, etc. necessary to market subject program.
  • Attends events to photograph, take notes, talk with participants, and draft articles for website and/or newsletter. Assists in drafting articles for press releases, website and newsletter, and pitching stories to CU and local media. Posts news and events to website, social media, and event calendar.
  • Assists in all aspects of donor-related project or event planning for Advisory Board and support groups of the BioFrontiers Institute. Coordinates the program and directs the activities of those staff and volunteers assigned to the project.
  • Acts as liaison to University contacts, vendors, donors, alumni clubs, volunteers, and others as related to assigned programs/projects.
  • Follows guidelines from the department manager regarding budgeted revenue and expenses associated with subject program and events. Reviews "budget-to-actual" status on a monthly basis and notifies management of any significant concerns. Reviews effectiveness of program and makes suggestions for modification and improvement.
  • Performs administrative tasks which may consist of correspondence, composing and maintaining external lists, internal documents and processes.
  • Utilizes appropriate databases for tracking program participants and prospective participants.
  • Assumes special projects as requested by senior management.

What we can offer:

The salary range for this position is $50,000-54,000 depending on experience.

Qualifications

What we require:
  • Bachelor's Degree or equivalent combination of education and experience in project management.
  • Minimum of 2 years of experience planning and managing projects.
  • Proficiency with Microsoft Office products, including Outlook, Word, Excel, and PowerPoint; Adobe products, including Acrobat, Photoshop, InDesign, and Illustrator; and multiple Internet browsers.

What you will need:
  • Ability to establish and enhance interpersonal relationships, including ability to coordinate and manage volunteers.
  • Strong communication skills, both oral and written.
  • Knowledge of general office procedures, protocol and professionalism; knowledge of Business English, spelling, punctuation and grammar.
  • Ability to manage multiple tasks simultaneously, adapt to changing priorities, manage time and meet deadlines in fast paced environment.
  • Proven data entry skills with ability to input information accurately; prepare and maintain detailed records, files, and reports on an ongoing basis.
  • Solid knowledge of database management with the ability to query reports, utilize data, and convert programs.
  • Ability to exercise a high degree of diplomacy, discretion and collaboration with all levels of customers and ability to effectively manage third party relationships.
  • Working knowledge of fundraising, communications, and marketing concepts.
  • Strong attention to detail and to aesthetic presentation of materials.
  • Ability to work with accuracy and attention to detail.

What we'd like you to have:
  • 5 years non-profit, events and development/fundraising experience.
  • Working experience with Publisher and Access; fundraising database applications such as Advance by BSR or similar software.

Preferred qualifications may be used to further reduce the pool of applicants to those who are most highly qualified.
