Responsibilities and Duties

  1. Serve as the first point of contact for potential SBDC clients; conduct initial assessment interviews; analyze and determine client business needs; provide referrals or resources to clients as needed or schedule appointment with appropriate SBDC contracted consultant(s);
  2. Maintain calendars and schedule appointments for the Director and SBDC contracted consultants; schedule the use of office and conference rooms by SBDC clients.
  3. Provide administrative support functions for the Director, program and services; develop, maintain and revise manual and computerized filing systems, reports, forms, advertising and documents;; screen telephone calls and visitors; receive and sort incoming mail; order supplies, as necessary.
  4. Track budget expenditures and monitor account balances in computerized and manual systems; provide management staff with information and reports needed for budget development, grant applications, and budget transfers; manually reconcile expenditures quarterly.
  5. Process computerized financial transactions; submit requisitions and disbursement vouchers; review and submit invoices for payment; process deposits.
  6. Collect and maintain accurate and up-to-date statistical program, client and consultant data and information such as but not limited to trainings conducted, consultant session reports, business development milestones, and job creation; Maintain records of workshops and seminars conducted and attendance.
  7. Establish and follow practices and procedures to protect and maintain confidential department and client records.
  8. Prepare lease agreements for clients; offer tours of available office space and center resources; prepare rent and service invoices; track fax and copy machine usage; distribute mail for clients.
  9. Schedule coordinate, and plan meetings, training classes and events; reserve venue; assist to develop event marketing, training materials and handouts; arrange for supplies and equipment
  10. Maintain and update the SBDC website; create and post upcoming training opportunities on event planning/ticket purchasing website.
  11. Process and monitor service agreement and contracts, as required.
  12. Attend various business meetings, functions and seminars; promote the operations, services and activities of the SBDC.
  13. Develop, format and proofread reports, forms, letters, brochures, etc.
  14. Perform related duties and responsibilities as required.


Knowledge of:

  • Basic operations of a small business development center.
  • Principles of business letter writing and basic report preparation.
  • Standard office, procedures, practices, and equipment.
  • Principles and practices of effective customer service.
  • Theories and applications of business management, marketing and organization.
  • Principles and practices of filing and record keeping.
  • Proper language usage, spelling, grammar and punctuation.
Ability to:
  • Assess client business needs and refer to proper resources as necessary.
  • Provide applicable and helpful information regarding business operations.
  • Provide effective customer service including assisting clients with forms, documents, and software
  • Maintain a variety of files and records.
  • Communicate clearly and concisely, both orally and in writing.
  • Establish and maintain effective working relationships.
  • Sensitivity to and understanding of the diverse academic, socioeconomic, cultural, linguistic, ethnic backgrounds and disabilities of community college students and staff.
  • Sit for prolonged periods of time; extensive use of a computer keyboard.
Education and Experience Requirements: Education: Completion of the twelfth grade or the equivalent supplemented by college level course work in business administration or a related field. Experience: Two years of increasingly responsible administrative support experience.
