Job Summary/Basic Function
The Associate Registrar, under general direction, supervises a functional area within the Registrar's Office.
Bachelor's degree or equivalent combination of education and experience.
Seven years of professional administrative experience.
Knowledge, Skills and Abilities
Thorough knowledge of overall activities and functions of the Registrar's Office.
Knowledge of word processing, spreadsheet, and database programs.
Ability to multitask and work cooperatively with others.
Oral and written communication skills.
Experience in a University Registrar's Office;
Experience as a University Scheduler;
Experience with Banner Student Information System;
Experience with the Texas Higher Education Coordinating Board rules and reporting requirements;
Demonstrated strategic thinking, planning and implementation.

Proposed Job Duties

Development, Administration and Coordination of Registration Processes and Records Office Procedures:
Oversee the development, auditing, and publication of the schedule of courses for all program in all delivery modalities;
Manage the maintenance of the records-related sections of the University Catalog;
Registrar's office liaison with Academic Affairs on all issues related to program and course inventory and Degree Works maintenance and implementation, to ensure accuracy of the system between both of the departments;
Provides support to faculty for Web for Faculty. Assists the University Registrar in the management of the Student Information System;
Analyzes current business processes and recommends data and process enhancements;
Ensure student files are complete and filing occurs on a regular basis in compliance with standards set by AACRAO;
Coordinates registration activities such as grade collection entries and changes, publication of semester course offerings, final examination schedules, classroom scheduling and requests for student information. This includes all pre-registration, regular, late and off-campus registration activities;
Assists with the coordination of beginning of term processing for credit and continuing education;
Assists with the coordination of end of term processing; including, updating final grades and compiling Dean's and President's List and Honor Roll.
Management and Supervision of Registrar and Records Staff:
Assists with hiring, assigning and training records staff and student workers;
Responsible for managing and evaluating assigned records staff;
Collaborates with the University Registrar and the Records staff on long range planning for the Registrar and Records office.
Training and Administrative duties:
Assumes responsibilities of the University Registrar in their absence by providing supervision for daily operation and decision making of Registrar's Office functions. Expected to be fully trained and knowledgeable in all aspects of the Registrar's job;
Responsible for getting office equipment orders to the Admin IV;
Participates on university committees and/or external professional associations, including the Texas Association of Collegiate Registrars and Admissions Officers (TACRAO);
Represents the Registrar's office at registration activities and during faculty orientation sessions and student orientation and registration sessions;
Serves as the Registrar's office representative on the University Curriculum Committee as designated by the University Registrar.
Compliance with federal, state, system and university laws, policies, rules, guidelines and reporting requirements as it relates to academic records:
Assists the University Registrar in preparation of reports, information, and other material for university administration and external services;
Oversee the implementation and maintenance of TAMUCT's participation in the National Student Clearinghouse;
Directs preparation of statistical reports on educational activities requested from the Registrar's office;
Assists the University Registrar in the compilation of data for reporting purposes. Coordinates university CBM reporting;
Promotes policies and procedures in compliance with local, state and federal rules and regulations; advises University personnel regarding the development and implementation of responses to regulatory changes;
Coordinates the conformity of record release procedures to management policies and legal requirements, including the Family Rights and Privacy Act (FERPA) and other applicable laws and regulations governing the confidentiality of student records.
