The Department of Pediatrics, CHAPA Program has an opening for a full-time, University Staff (unclassified) Business Services Senior Professional position.

Job Summary:

Jobs in this career family provide general business operations of the organization or a combination of operational responsibilities covering multiple career families. Functions include institutional research, statistical analysis, policy development and review, strategic planning and broad unit business operations such as parking and transportation services, risk management, childcare services, real estate and property management, retail services or job responsibilities that combine fiscal, HR and operational management responsibilities.

Senior Professionals are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field. Work is performed fully independently

Position Emphasis:

This Business Services Senior Professional provides direct professional and operational support to the Program Director. This position monitors the program's fiscal affairs and works with the Department of Pediatrics on human resource needs. Responsibilities include improving processes to increase efficiency as well as providing excellent customer service to colleagues and students. The Business Services Professional must be able to maintain working knowledge at all times of all current University policies that are relevant to business services, such as procurement, human resources, budget, and travel.

Specific Duties:
  • Assist Program Director by tracking projects and providing organizational structure to day-to-day operations.
  • Executes financial transactions, such as purchase orders, purchase requisitions, travel, allocation of University card charges, and reimbursements.
  • Arranges corporate travel and meetings for the Program Director by developing itineraries and agendas, booking transportation, arranging lodging and coordinating meeting accommodations.
  • Works with the Department of Pediatrics on all human resource functions including new hires and manages student employee timesheet processing.
  • Responds to both internal and external confidential inquires.
  • Monitors all program funds including tuition revenue, School of Medicine funds, and grants.
  • Monitors revenue and expenditure activity.
  • Works with Program Director on yearly budget, financial analysis, and benchmarking.
  • Assists with grant preparation.
  • Plans and implements special projects for the Program Director.
  • Communicates with other departments and outside agencies including annual reporting as required.
  • Records and transcribes meeting minutes within a timely manner.

PLEASE NOTE: Candidates will be responsible for travel expenses related to the interview process and any relocation expenses, if applicable.

Salary and Benefits:

The hiring salary for this position has been established at $50,000 - $53,000 and is commensurate with skills and experience. This position is not eligible for overtime compensation.

Minimum Qualifications:
  • A bachelor's degree in business, business administration, finance, accounting , education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
  • Two (2) year of full-time experience working with financial processes in an education or health care setting.

Substitution: A combination of education and related professional experience may be substituted for the bachelor's degree on a year for year basis, but will not substitute for specific experience.

Conditions of Employment:
  • Must be willing and able to successfully pass a national criminal background check.

Preferred Qualifications:
  • Experience working with project tracking software.
  • Experience working in an academic medical environment.
  • Experience working with UCD financial processes.
  • Experience providing executive level assistance.
