Faculty Assistant, Colorado Law
Colorado Law is accepting applications for a Faculty Assistant to provide a variety of technical, administrative, and financial support services to 10+ permanent law faculty (individually) and 70+ (as a unit) other faculty members. This position provides high quality, service-oriented support for the law faculty by coordinating the proofreading, revision, and electronic submittal of manuscripts for publication; preparing and uploading law school exams utilizing the ExamSoft web-based program; compiling class materials for handout and/or posting on The Westlaw Education Network; updating course-related pages on the Law School website; securing copyright permissions; facilitating faculty travel and reimbursements; executing faculty purchases and reimbursements; coordinating summer colloquia and special events; composing correspondence; establishing office organizational systems and procedures; and providing general assistance as requested by law faculty for achieving their scholarship, teaching, and service goals. This is a fast-paced job that requires quick thinking on one's feet, good judgment in executing all duties, and a broad range of skills. This position requires operating with minimum supervision in a small office and collaborative team environment handling demanding law professors and numerous daily challenges with professionalism and excellent customer service.
What your key responsibilities will be:
Technical and Administrative Law Faculty Support - 35%
Provides assistance in response to a variety of requests from law faculty to support their educational, research and scholarship goals. Services include orienting new law faculty members into the CU system, distribution of scholarly articles to law colleagues and law communities; assisting with development of faculty summer symposia and conferences; and providing administrative support for law faculty members' service on faculty committees and search committees. Prepares and expedites recommendation letters on behalf of faculty for students, sometimes utilizing the online system OSCAR for the court system. Works professionally and collaboratively with students in communicating necessary requirements for mailing lists to judges and justices and determining required deadlines for distribution of clerkship recommendation letters. Facilitates logistics of travel for assigned faculty and guests. Coordinates group travel. Determines, prepares, and processes appropriate documentation before travel occurs; prepares and processes reimbursements accurately and in a timely manner through the Concur travel and expense system; advises faculty on travel procedures; acquires estimates for most cost-effective travel options; and coordinates conference and hotel registrations. Updates and maintains faculty bio pages on Law School website. Creates web pages for faculty special projects and summer colloquia. Scans, copies, faxes, and troubleshoots printers. Manages mail, UPS, and FedEx shipments.
Law Faculty Scholarship and Teaching Support - 25%
Assists faculty in disseminating scholarly manuscripts in print and electronic media by creating drafts and final copies of those manuscripts. Proofreads, revises, and formats manuscripts by interpreting and applying Bluebook style for law journal articles or Chicago Manual of Style for book publishing. Develops and maintains distribution lists for manuscripts and law journal reprints. Prepares and submits submissions to law reviews and journals via Expresso and Scholastica websites. Prepares and posts syllabi, announcements and class materials on the web-based West Education Network (TWEN); creates seating charts using electronic templates through a web-based seating chart program; obtains class rosters from the CU-SIS system; prepares and uploads articles to SSRN; orders textbooks and comp copies for faculty; downloads law cases and articles utilizing the primary law databases Westlaw and LexisNexis; obtains original texts from the law library system; prepares and monitors attendance sheets utilizing Excel; and reserves rooms and obtains supplies as needed. Prepares law examinations as outlined below. Facilitates and supports faculty special project and pro bono work.
Financial Management and Procurement - 25%
Processes domestic and international payments and reimbursement requests from law faculty utilizing Concur and Marketplace online systems for purchases, which include professional membership dues, conference registrations, travel, books, office supplies and equipment, and any other miscellaneous needs; reallocates procurement card expenses for procurements; creates non-employee reimbursements for travelers and various expenditures; prepares and processes honorariums; maintains professional communications with Procurement Services in interpreting compliance with university procurement policies; manages financial records related to faculty development funds, research assistant support, grants and other funds available to faculty members from the Law School or University. Resolves financial procedure questions via FinPro and the Campus Controller's Office. All financial duties must be carried out in a timely manner to meet various required deadlines.
Law Examinations - 15%
Prepares midterm and final law examinations for faculty by proofreading; editing; creating accurate electronic documents; programming exams into the Examsoft exam management program; producing hard copies of exams for administration to law students; maintaining confidentiality and ensuring security of exams until administration; downloading students' answers for printing; and distributing to faculty members for grading. Coordinates and collaborates with the Law School Registrar's Office to ensure exam processes run efficiently and smoothly.

The anticipated starting salary for this position is $42,000, commensurate with experience.

What we require:
A bachelor's degree or higher. Substitution: Professional work experience may substitute for a degree on a year for year basis.

What we'd like you to have:
Previous experience using web-based applications and platforms in a professional work environment.
Proficient in Microsoft Office Suite and Adobe Acrobat Pro.
Knowledge of University of Colorado systems, policies and procedures.
At least 3 months' experience working directly with faculty in a higher education institution.
