This full-time, benefits eligible, partially grant-funded position handles a wide variety of administrative and outwardly facing tasks for the Department of Pharmacy and Health Systems Sciences (DPHSS), supporting up to 30 faculty members and in particular, members of the School of Pharmacy (SOP) leadership team. The position also administratively supports an externally funded fellowship program. The Academic Program Assistant reports to the Director of Operations, but supports the department chair, dean, and other leadership team members. Tasks vary widely, dependent upon the academic cycle. Administrative tasks include general office management and clerical tasks (reserving rooms, processing budget forms, purchasing supplies, managing a corporate credit card, inventory management, overseeing office equipment maintenance, etc.) and preparation of documents and reports (written and numerical) as required, including department meeting minutes. This position serves as a visible external point of contact for the SOP executive team and is responsible for reception and customer service, email/written correspondence, itinerary preparation and accommodations for external guests. Calendar and meeting coordination are provided for members of the pharmacy leadership team, dean, and in particular, the DPHSS department chair, with tasks related to arrangement of faculty meetings, departmental correspondence, record keeping, reporting, and other special projects. This person helps manage many of the school's external events and functions, coordinating necessary contracts and arrangements (travel, dining, etc.), and actively manages all associated processes. Oversees scheduling calendar, and correspondence for a large university conference room (supervising/orienting student and temp worker assistants in its process). Responsibilities also include updating school/department website, preparing external newsletters two to four times annually on behalf of the dean and posting to the school's social media sites. Position may supervise work study students.

Associate’s degree and minimum of three years of related administrative experience, a bachelor’s degree is preferred. Qualifications include:
• Proven record of providing exceptional customer service to multiple, diverse constituents
• Outstanding planning, time management and organizational skills with ability to handle multiple priorities with efficiency
• Exceptional communication skills - ability to independently construct internal and external emails and written communication documents and correspondences on behalf of school leadership
• Strong critical thinking and problem solving skills. Ability to be resourceful/work independently
• Flexibility and ability to work fluidly in a team-oriented, fast paced environment
• Familiarity and comfort level working with social media,
