Job Summary:

The Student Life and International Coordinator is responsible for welcoming and helping students who need assistance with class schedules, residence life, intramurals, student activities, DSO, OPT/CPT approvals, international student transfer clearance approval, international student health insurance approval and other questions handled by the Student Life Office.  The Student Life and International Coordinator provides administrative support for the Student Life Office, and reports to the Dean of Students.  This position requires a friendly attitude, the ability to work well in a team environment, and exceptional interpersonal and organizational skills.

Student Life

Duties and Responsibilities:

  • Answering phones, greeting visitors, and acting as receptionist and triage specialist for the Student
    Life Office;
  • Becoming familiar with the UC Student Expectations and International Student Handbook, and answering student questions related to them;
  • Reviewing and tracking housing applications and cancellations, health insurance and immunization records;
  • Planning and creating educational or marketing displays;
  • Paying invoices, securing purchase orders, and reconciling expenses with department budgets;
  • Monitoring inventories and ordering supplies;
  • Maintaining accurate, organized, up-to-date files; 
  • Cleaning and organizing offices, storage closets, and resource rooms as needed;
  • Maintaining calendars and scheduling appointments;
  • Designated School Official (DSO)
  • Assisting the Dean of Students with the oversight of the completion requirements of the Haven and AlcoholEdu educational courses
  • Working alone or with students or other staff members to prepare packets and mailings to new and returning students;
  • Other duties as assigned.

International Coordinator

Duties and Responsibilities:

  • University of Charleston Designated School Official (DSO)
  • Participation in training related to job duties, including international student visas;
  • Updating SEVIS records when changes occur

  • Printing/Signing Form I-20 documents
  • Travel signatures
  • Review and copy of every form I-20 for each student as they are issued to keep on file in the SLE Office
  • Registering students in SEVIS each semester to maintain SEVIS status
  • Call SEVIS for verification of policies and procedures multiple times a week

 

 

  • Providing proof of enrollment and residency for international students for driver’s license or social security card needs
  • Advise student on departments that offer on campus employment for International students
  • Students must be hired by on-campus employer and fill out the Social Security Letter I provide them
  • Once the employer letter is turned in to me, I fill out the DSO Social Security letter
  • Student takes both letters and other documents to the Social Security office to apply for a Social Security card
  • Assisting international students with obtaining most recent I-93
  • Assist student in obtaining most recent I-93
  • Input their name, DOB, Passport Number and Country to obtain I-93
  • If I-93 does not populate, advise student next course of action
  • Reviewing and approving OPT for international students
  • Email students OPT application and application guide
  • Converse with student in person or over the phone on requirements of OPT
  • Collect and make copies of the student’s past form I-20’s that are kept on file in the SLE Office and must be included in the packet.
  • Once student collects all forms, pictures, and money needed to apply for OPT, I must double check everything is correct before the packet of information is sent out
  • Issue a new form I-20 with CPT authorization and valid signature
  • CPT authorization for international students
  • Collect materials and ensure students are abiding by SEVIS regulations
  • Email students CPT application and sample Advisor letter
  • Converse with student in person or over the phone on requirements of CPT
  • Communicating with Advisors to obtain confirmation letter that CPT internship relates to the student’s program of study
  • Obtain a letter or contract from the student’s CPT employer to specify start/end date, full-time/part-time status, rate of pay, job duties, etc.
  • Issue a new form I-20 with CPT authorization and valid signature in SEVIS
  • Reviewing and approving International Health Insurance requirements, including billing
  • Collect waivers and alternate insurance documents from students not using ISO Insurance
  • Review individual student health insurance documents to determine if they meet UC policy requirements
  • Contacting Student Solutions to update student billing statements
  • Issue ISO insurance cards to students
  • Assist students with insurance claims
  • Completion of all transfer documents needed for international students
  • Transfer Out
    • Transfer Out Form
    • Obtain Letter of Acceptance to new school
    • Release of SEVIS record
  • Transfer In
    • Transfer Clearance Form
    • Validate admission to UC
    • Update SEVIS Record
  • Social Security Letters
  • Advise student on departments that offer on campus employment for International students
  • Students must be hired by on-campus employer and fill out the Social Security Letter I provide them

  • Student takes both letters and other documents to the Social Security office to apply for a Social Security card

  • Make copies of every new International student’s Passport and Visa to keep on file in the official international student files for SEVIS audits
  • Students must be hired by on-campus employer and fill out the provided Social Security letter

Qualifications:

  • High school diploma with 3 to 5 years of experience directly related to the duties and responsibilities specified.College degree preferred with experience in student life and international student responsibilities.
  • Customer service orientation; Friendly, outgoing and welcoming personality;
  • Proficiency with Microsoft Office, including Word, Excel, and PowerPoint;
  • Willingness to learn new concepts and skills;
  • Experience in administrative support or office management;
  • Attention to detail, good organizational skills, and the ability to multi-task in a busy office environment;
  • Ability to communicate effectively, both orally and in writing;
  • SEVIS experience.
