ADMINISTRATIVE SPECIALIST I
Job Summary This position provides administrative support to the Associate Vice President for Finance & Administration and other managers and personnel within University Business & Accounting Services. This position is the "face" of University Business & Accounting Services and is often the main point of contact that University and non-University units have with the organization. This position is responsible for all correspondence, reports, meeting agendas, presentations, and other official documentation from or on behalf of the Associate Vice President or other managers within University Business & Accounting Services (UBAS). This position manages the calendar of the Associate Vice President and coordinates meetings across various University departments and personnel. This position is also responsible for managing the departmental electronic filing system, provides front office/reception area support and telephone backup for Accounting Department. Other duties and responsibilities include: serving as the UBAS human resources representative, managing payroll and leave balances for UBAS and Accounting department, managing day-to-day budgetary and accounting transactions for UBAS and Accounting department, assisting UBAS departments with budgeting issues and questions, managing the UBAS budget development cycle, preparing check requests and other business transactions for some UBAS departments, preparing travel authorities and making travel arrangements, process travel reimbursements, reconciling UBAS accounts as assigned, and managing building facility issues and work orders. In addition, this position provides administrative functions needed to carry out and coordinate special events for UBAS. This position must have a mastery of University and Board of Regents policies and procedures and must maintain excellent working relationships with University units and external parties. Minimum Qualifications High school diploma or equivalent and four years of progressively responsible office experience OR Associate's Degree and two years of responsible office experience OR Bachelor's degree.
