Operations Coordinator - Coordinator III (0.625 FTE)

The University of St. Thomas invites qualified candidates to apply for an Operations Coordinator - Coordinator III position within the Career Development Center.

This position provides a wide variety of critical administrative support and communication relative to the daily operations of the Career Development Center. This position insures smooth work flow and office support of all career services and programs. This is a .625FTE position.

Essential Functions:

1. Oversee the daily operations of the office including the front desk, resource center and interview suites to ensure quality services are provided to university constituents. Responds to calls and E-mails from students, faculty, employers, alumni and parents to explain services, programs and answers questions. Problem solves as needed and makes referrals to the appropriate career staff, community resource or university members. Maintains counseling confidentiality when necessary. Provides technology support to students, staff and employers using vendor system and web site. Keeps track of inventory and monitor usage of guidebooks and publications in the resource center.

2. Provides support to professional staff members ranging from general office support such as making appointments to planning and coordination of major programs attended by hundreds of students including the Job/Internships Fair and On-Campus Interviewing. Assists with major event planning, employer receptions, assessments and reporting.

3. Hire, train and supervise student employees. Trains doctoral and masters interns on career center procedures. Schedules student employees and assists interns with scheduling of appointments in order to meet the office needs.

4. Assists employer relations staff with campus recruiting services. Maintains job/internship posting site. Serves as administrative back-up to the Employer Relations Specialist as needed.

5. Assists director with monitoring and maintaining office budget. Prepare and transmit purchase orders, work orders, deposits and requisitions. Determines needs and makes decisions for ordering regular office supplies for daily operations and routine projects. Sends requests for service for food, rooms, duplication and other services as needed.

6. Maintains confidential filing system for career counseling according to International Association of Counseling Services (IACS) and American Psychological Association (APA) standards.

7. Maintains testing database. Explains testing process to students, alumni, and university constituents. Proctors and administers tests when necessary.

This position has a 0.625 FTE and is expected to work 12 months out of the year, Monday through Friday, at 25 hours a week.

Minimum qualifications: High school diploma or the equivalent and four (4) years of administrative experience, preferably in an academic environment.

Knowledge of: Policies and procedures of the department; the use of specified computer applications involving word processing, data entry and/or standard report generation.

Skill in: Performing technical, specialized, complex, difficult or basic technical office support work. Reading and explaining rules, policies and procedures. Setting priorities and meeting critical deadlines. Strong attention to detail. Strong communication and interpersonal skills.

Abilities: The ability to compile and summarize information and prepare special reports.
