The Diversity and Inclusion Coordinator within the Office of the Dean of the Graduate School is a critical member of a dynamic, six-person diversity and inclusion team focused on recruiting, retaining, and supporting a diverse graduate student population at Princeton. The Coordinator will manage daily workflow and provide high-level administrative support, with particular responsibility for supporting the Assistant Dean for Diversity in the Natural Sciences.
Key duties include handling and responding to inquiries; scheduling meetings and maintaining a complex electronic calendar; monitoring and tracking budgets and expenditures; and drafting, distributing, and following up on correspondence. This individual will have particular responsibilities for working with students and faculty members in the natural sciences, including service as the administrative coordinator of a summer undergraduate research program (SURP) in the life sciences.
- Support the deans in managing calendars, special and ongoing projects including data collection, reporting, and independent research; tracking student progress; maintaining files, databases, and websites; and assisting with preparation of grants, presentations, and meeting materials.
- Represent the office and interact with various members of the University community including faculty, staff, students and guests.
- Serve as key point of contact with internal and external stakeholders through email, written correspondence, and telephone.
- Manage incoming requests to the office by prioritizing, researching, and responding in an appropriate and timely manner.
Programs, Events, and Recruitment:
- Support programmatic, events, and communications functions.
- Assist team to assess efficacy of initiatives and prepare data for reporting purposes.
- Interact frequently with staff from, and support diversity efforts in, all natural science departments.
- Provide assistance in coordinating offcampus and oncampus recruitment visits.
- Serve as the administrative coordinator for the summer undergraduate research program, a collaboration between the Department of Molecular Biology, the Lewis Sigler Institute, and the Graduate School. This involves managing the application process, recruitment and admissions, student funding, events and seminars, and a final poster session for the program.
- Manage and track diversity and inclusion expenses;
- Assist with the oversight of multiple accounts in support of diversity and inclusion including recruitment, retention budget and SURP.
- Process and reconcile expenditures and related receipts.
- Provide monthly budgetary and project updates.
- Support the Dean and Administrative Manager as part of the administrative pool, including sharing in the staffing of the Graduate School reception desk, and in special activities including Orientation, and Hooding Ceremony.
- Attend Graduate School monthly Coordinators Meeting.
- Purchase office supplies, as needed.
- Excellent communication skills, customerservice orientation, a high degree of professionalism and responsiveness are critical and good judgment is essential.
- Must be able to work as a team player.
- Strong computer and financial management skills, including experience with Microsoft applications; University financial, purchasing and travel systems; and PeopleSoft.
- A selfstarter who is well-organized, detailoriented, disciplined, flexible, and effective under pressure.
- Ability to prioritize and execute multiple important projects at once.
- Ability to handle complex and confidential information with discretion.
- Willingness to work occasional evenings and weekends as needed.
- Bachelor's degree.
- Experience with financial systems, data management, and analytics.
- Experience in an academic setting, especially in a science or engineering context, and knowledge of University policies and procedures.
