The Department of Surgery at the University of Virginia is seeking an Executive Assistant to support the Transplant Service Line Director. This position provides executive level administrative support to the Chief of the Division of Transplant Surgery (Director). Duties include coordination of the Director's calendar, ensuring that events and meetings are facilitated in an effective manner; handling incoming telephone calls and email inquiries, prioritizing and triaging requests as needed; making travel arrangements and processing reimbursements; and performing overall office management including the purchase of all equipment and office supplies and the day to day management of the Departmental budget. The Executive Assistant also participates in special projects and serves as a liaison between other leadership, faculty, staff, and constituents.
Qualified candidates must have a Bachelor's Degree and minimum of at least 3 years of relevant experience working as an administrative assistant in a fast-paced, professional office environment. A Master's degree and five or more years of experience supporting senior leadership and/or working in an administrative capacity in a medical center, academic, or healthcare setting is preferred.
Qualified candidates must be highly organized, focused, and able to manage multiple projects or assignments at once. Candidates must have excellent written and verbal communication skills with the ability to convey information and ideas clearly; the ability to use judgment and tact in dealing effectively with all visitors and callers, especially when handling confidential matters; and a professional demeanor and exceptional customer service skills. Qualified candidates must also be able to work independently and solve problems within their scope of duties; to utilize appropriate resources to consistently meet customer needs; and be familiar with NIH Era-commons, and DOD grant submission sites. Microsoft Office computer applications (Word, Outlook, Excel and PowerPoint) are required.
This position is restricted and contingent upon the continuation of funding.
