This position is with the University Business Administrators Program located in the College of Music.
This position manages the daily accounting functions for the College of Music (COM); monitors and oversees accounts payable, accounts receivable, and revenue.
Responsible for the College of Music Box Office Cash Operations to include but not limited to coordinating and managing internal operations of ticketed events, cash handling, scheduling graduate assistants, oversees operational setup of all computers, point of sales stations and provide support for daily and performance day events. Responsible for managing day to day vault operation to ensure effectiveness and efficiency during daily and ticketed events which include cash, checks, and credit card payments. Oversees and manages distribution of all College of Music complimentary tickets for faculty/staff and students. Expected to make recommendations for the improvement in ticketing software and implement changes approved by the Dean of the College of Music.
Responsible for establishing, maintaining and implementing the College of Music's Accounts Receivable policy and procedures for COM*s concert halls and recital halls. Expected to make recommendations for new accounts receivable software and implement changes approved by the Dean of the College of Music. Prepares financial statements and works to ensure collections of funds through written and oral communications. Conducts detailed financial analyses by auditing, verifying and reconciling the COM Concert halls receivables operations and follow-ups on delinquent items.
Oversees the cash collection over $500,000 in revenue between Box Office Sales, Hall Rentals, Music Therapy, Band, and Summer Camps; and maintains all cash handling policies and procedures within these areas. Responsible for logging in revenue and taxes into the Student Business Services revenue log and supervises OPS employees who make daily/weekly deposits.
Manages area budgets and processes all payments by vouchers or by payment request forms. Ensures payments are in compliance with the prompt payment and other applicable laws, policies, and procedures of the State of Florida and Florida State University.
Ensures timely and accurately coding and auditing of departmental purchasing card (p-card) payments to ensure that each purchase has the correct accounting information description and ensuring monthly reconciliation of p-card accounts are done in a timely manner.
Serves as the College of Music Fiscal Office back-up for entering requisitions and receipts in OMNI. Reviews periodic review of outstanding receipts, encumbrance and monitors purchase orders to ensure proper closure. Manages and maintains the monthly Florida Department of Revenue Sales Tax Reports.
High School Diploma or equivalent and six years of experience.
Experience with accounting systems and practices.
Experience compiling, reviewing, and reconciling data for accuracy, completeness, and compliance.
Experience working with Microsoft Office, Excel, and other applicable computer applications.
Experience with collection and/or cash handling procedures and experience performing monetary transactions.
Knowledge of and ability to interpret and apply related federal, state, and local laws, ordinances, rules and regulations.
Knowledge of and the ability to interpret and apply related University policies, procedures, principles, and practices.
Ability to utilize problem solving skills. Ability to communicate effectively verbally and in writing. Ability to establish and maintain effective working relationships. Bachelor's Degree in Accounting.
Anticipated Salary Range
This is an A&P (Administrative and Professional) position.
