Minimum number of years and type of relevant work experience:
Minimum of 3 years experience in an administrative setting assisting a staff member in an executive-level position with strong organizational, technical and leadership skills in the academic and clinic areas of the medical sciences is highly preferred.
Demonstrated experience in project management is preferred.
The ideal candidate will be a self-starter who can function with minimal supervision.
Ability to manage sensitive issues and maintain confidentiality at all times.
Ability to prioritize and keep multiple ongoing projects well organized.
Professional level and highly efficient use of base Microsoft Office software products and experience with Google calendars required.
A minimum of 7 years of experience is required for appointment at the Senior level. Prefix assignment determined by years of relevant work experience.
The Department of Family Medicine and Community Health (DFMCH) is one of the largest and most complex clinical departments in the School of Medicine and Public Health. The DFMCH has an annual operating budget of approximately $104 million and 40 cost centers representing clinical operations, educational units, service units, research activities, and administrative units. The department currently consists of 180 paid faculty, 85 residents and fellows, 82 academic, university and temporary staff, 477 appointed UWMF clinical staff, 12 student hourlies, 47 honorary associates/fellows, and 20 affiliate/joint faculty; 304 officially appointed adjunct clinical faculty and Physician Assistant program preceptors, and non-appointed volunteers. The DFMCH has a statewide academic network and is involved in clinic operations at 20 sites which include residency, community and regional clinics. In addition, the department hires 60-70% of the family medicine physicians providing services UW Health Urgent Care Centers.
The Assistant to the Chair manages administrative and communication operations of the DFMCH Chair's Office. This entails a high level of complexity in day-to-day operations and requires a high level of initiative, creativity, and personal responsibility. This position will report directly to the Department Administrator and will assist the Chair by working independently to support the Chair's daily activities in medical education, research, and clinical settings. This position will work with numerous constituents and serves as a liaison between the Department Chair, DFMCH Leadership, faculty, staff, fellows, residents, and students and other programs, synthesizing a vast array of information to advise and address issues. In addition, the Assistant to the Chair will provide strategic planning process coordination, committee management, and general office management for the Chair's Office. In order to perform the duties of this position, the Assistant to the Chair must continuously interpret, analyze and assess Departmental needs and monitor rules and regulations set by multiple governing bodies.
