I. Summary of Position

The Associate Director for Administration (ADA) will provide management and coordination of administrative and operations-related functions for Stanford Introductory Studies (SIS), a unit of the Vice Provost for Undergraduate Education (VPUE). With a staff of 12 FTE and a budget of $11M, SIS programs offer courses for the Thinking Matters liberal arts requirement and other curricular programs for first and second-year students -- Introductory Seminars, Sophomore College, and Arts Intensive. In collaboration with the faculty director and senior staff of the program, this position is responsible for budget development and oversight as well as leadership for strategic planning across the entire range of administrative functions including personnel, facilities, academic processes, and financial resources. The ADA will serve as a key liaison with VPO / HR on matters involving both administrative and academic/instructional staff.

This is a dynamic position that requires flexible and creative administrative leadership reflecting a comprehensive understanding of complex organizations. The ADA ensures the consistent and efficient functioning of processes and systems supporting all SIS programs. The ADA will exercise independent judgment in setting priorities and in identifying and solving problems, informed by a strong grasp of the relationship between administrative tasks and the educational mission of the unit. The ADA will manage a staff of three administrative professionals.


II. Core Duties
  • Manage staff in the day-to-day operations in support of curricular programs in which 300+ faculty from the seven Schools of the University teach courses for all first- and second-year students. Responsible for hiring and retaining staff, career coaching, personal/professional development for direct reports, and overall consistent professional performance of staff employees. Ensure work completion within schedule and constraints.
  • Analyze unit needs and make recommendations to leadership for changes in staffing, facilities, health and safety compliance, finance, technology, and/or administrative functions. Work with the SIS unit leadership and the Vice Provost's Office to allocate and manage resources for program activities and interests.
  • Evaluate business processes and operational and/or financial effectiveness. Analyze and resolve complex issues and provide alternative solutions as necessary. Lead process improvement for immediate unit.
  • Manage finances across all sources for the annual budget, including developing, monitoring, analyzing, forecasting, and reporting.
  • Guide supervisors in the interpretation and implementation of human resources policies, procedures, and programs, independently or in collaboration with human resources managers.
  • Interpret, implement, and ensure compliance with university academic and administrative policies and procedures within the unit. Recommend new internal policies, guidelines, and procedures.
  • Manage and coordinate grants and contracts for the department. Ensure compliance with institutional and external requirements.
  • Represent the unit's business and academic operations within the organization/school.
  • Manage student and faculty program and payroll administration for the unit.

III. Qualifications
  • Bachelor's degree and three years of relevant experience in administrative and financial management, or combination of education and relevant experience. (Advanced degree preferred.)
  • Demonstrated supervisory skills including development of staff and conflict resolution.
  • Excellent planning and organizational skills.
  • Excellent oral and written communication skills.
  • Sound working knowledge of accounting, budget planning, and financial forecasting gained through 5+ years' experience.
  • Strong negotiation and effective interpersonal skills.
  • Leadership in building cross-functional relationships.
  • Solid analytical and problem-solving skills.
  • Attention to detail and accuracy.
  • Working knowledge of grants and contracts administration.
  • Strong expertise in business and management computer applications and databases.
  • Strong knowledge in industry standards and/or regulatory requirements.
  • Ability to multi-task and manage deadlines.
  • Familiarity with and appreciation for the undergraduate educational objectives of a liberal arts program.

Preferred Skills and Experience:
  • 5+ years of supervisory experience, including training and performance evaluation.
  • 5 years of experience in personnel administration, e.g. hiring, payroll, employee relations, and other human resource processes.
  • 5+ years of progressively responsible program administration and management for a complex organization, preferably in an educational environment.
