Posting Information: The Associate Director for Intramural and Club Sports reports directly to the Director for Campus Recreation and Wellness (CRW) and is a member of the leadership team for CRW. CRW develops, administers and delivers a broad array of programs and services designed to enhance the learning experiences of a diverse student population. The responsibilities of this position encompass a wide variety of administrative and supervisory duties including budget management, personnel management, risk management, policies and procedure development, marketing and promotions, programming, strategic planning and assessment. Specific Responsibilities include: Administration of Intramural Sports Program - Assist in the organization and management of the Intramural Sports program, including fall, spring, and summer term structured activities, through direct oversight of the Assistant Director for Intramural Sports. Create an environment that educates and promotes sportsmanship and participation in recreational activities, in addition to providing a program in which risks are minimized. Work closely with other departmental personnel in regards to scheduling, supervision, and facility guidelines. Develop excellent customer relations by educating and communicating with participants, staff and officials. Administration of Club Sports Program - Organize and manage a comprehensive Club Sport program for competitive club sports on campus. Create an environment that educates and promotes sportsmanship and participation in recreational activities, in addition to providing a program in which risks are minimized. Work closely with other departmental personnel in regards to scheduling, supervision, and facility guidelines. Administer Club Sport home matches in accordance with risk management protocols and that minimize conflicts with campus-wide University events. Work closely with Club Sports to understand and work through the unique needs of each sport and sport league. Work collaboratively with Leadership and Student Involvement to ensure Registered Student Organization compliance. Assist in developing and maintaining the Club Sport web page to include contact information for each Club Sport and Club Sport guidelines. Assist students in the creation of new Club Sports, including Legal Council consultation. Report Club Sport participation on a semester basis, as well as other assessment measures that indicate appropriate outcomes associated with participation in Club Sports. Assist in reporting Club Sport participation on a semester basis to the Department of Athletics for Title IX purposes. Implement an effective safety/risk management plan and procedures for emergency care, to include on campus and off campus risks/travel. Personnel Management - Directly supervise the Assistant Director of Intramural Sports. Recruit, hire, train, schedule, supervise and evaluate student employees including graduate assistants, interns, supervisors, sport officials/scorekeepers and office assistants. Assist in conducting training clinics for all team Intramural Sports. Assist in maintaining a written evaluation process for all student supervisors and sport officials. Prepare training manuals/material, operating manuals, and conduct staff meetings and trainings. Assist and mentor student employees regarding professional development opportunities. Create methods to help retain and motivate student employees. Recruit, train, and supervise the Club Sport Executive Board and Club Sport Supervisors. Prepare training and manuals/materials for all Club Sports, including training for Club Sport members and officers, as well as coaches and advisors. Mentor Club Sport officers and assist in their professional development through leadership training and opportunities. Budget Management and Planning - Assist the Director in periodically updating the departmental strategic plan and assessment plan, preparing annual reports and annual action plans, preparing and managing annual budgets, and developing and implementing assessment activities. Continuously seek ways to directly connect departmental plans to current university priorities, including recruitment and retention. Conduct a systematic, comprehensive, fair budget hearing process for Club Sports. Make recommendations to the Director regarding the overall Club Sport budget. Manage the Club Sport budget in conjunction with the Administrative Associate. Assist Club Officers with purchasing procedures and guidelines including, but not limited to, distinction between revenue and allocation budgets, reimbursements, equipment purchases, and travel expenses. Special Events/Extramurals - Collaborate with other division or university units to develop and propose university-wide special events and activities emphasizing innovative and non-competitive events that promote leisure involvement. Identify target groups with whom special programs may be co-sponsored. Actively seek new creative opportunities to partner with academic entities and enhance student learning and student satisfaction. Oversee Western Carolina University student participation in any extramural events. Serve as an CRW's advisor and CRW's representative for Dance Marathon as applicable. Publicity and Marketing - Assist in developing and maintaining a comprehensive marketing plan for Intramural Sports and Club Sports including, but not limited to, print publications, press releases, social media campaigns, participation in admissions recruitment activities, and other electronic sources. Facilities Management - Direct oversight and management Assist in the overall management and oversight of CRW field spaces, including field maintenance and communication of events to the campus. Coordinate all field lining activities for both Intramural and Club Sport events. Work with the Associate Director for CRW to schedule field spaces. General Responsibilities - Attend department staff meetings and leadership meetings. Serve on University and divisional committees as needed. Participate in other Division of Student Affairs initiatives/programs as required. Seek opportunities with other university departments (especially within Student Affairs) to offer co-sponsored programs and events. Supervise various evening and weekend activities as needed. Perform other duties as assigned by the Director of Campus Recreation & Wellness.
Minimum Training & Experience Requirements: * Master's degree in Recreational Sports Administration, Physical Education or related field * Minimum 2 - 5 years full time sports programming experience in the college/university recreation setting (beyond a Graduate Assistantship) * Current CPR/AED/First Aid Certification or ability to obtain before the first date of employment
Preferred Qualifications: * Previous experience in training sport officials, supervising student employees and planning and implementing sport leagues and tournaments. * Experience working as an official in various team sports at any level * Experience and skills in operating PC/MAC related database, Microsoft Office applications, and league scheduling programming * Experience working with IMLeagues.com * Ability to function independently as a member of a team in a constantly changing environment * Current First Aid/CPR/AED Certification * Strong interpersonal, communication, collaboration and organizational skills. * Willingness to work weekends and evenings * Sensitivity and commitment to diversity issues
