Job Summary

The Foundation is working to reduce paper files and is undergoing an extensive scanning project to eliminate all hard copy donor files. The Scanning Technician will be responsible for scanning and categorizing all hard copy donor documents and prepare folders for shredding.
This position reports to the Executive Director.

Responsibilities:
• Review the donor file and remove any duplicate documents.
• Sort and categorize the documents as follows:
o Correspondence
o Donations
o Financial documentation
o Other
• On the Y drive, create an electronic folder for each donor to include the above four subfolders.
• Scan all documents within each donor file.
• Rename each scanned document and then electronically file within each donor's individual folder and subfolder.
• Verify that the electronic folders contain all documents from the hard copy files.
• In preparation for shredding all scanned files, the Scanning Technician is to ensure that no staples or paperclips remain in the hard copy folders.
• Once scanning of a file is complete and electronically verified, place the hard copy in the box for shredding.


Minimum Qualifications

-1 year experience working with paper and electronic filing systems
-Intermediate level expertise with Word & Excel
-Must be able to work independently on a highly detailed project
-Demonstrated use of critical thinking


Work Hours
8 -15 hours weekly over 15 weeks. Hours may be completed in full or half days. Office hours will be 8:00 am – 5:00 pm Monday – Friday.
