The Mills Legal Clinic ("MLC") at Stanford Law School ("SLS") seeks a part-time Legal Assistant to work 32 hours per week supporting the Social Security Disability Project ("SSDP"), a unique volunteer opportunity for SLS students. The MLC is the law school's clinical education program providing SLS students the practical experience of working with real clients on real cases under the supervision of clinical faculty. Through its 11 distinct clinics, the mission of the MLC is to provide superb professional legal representation to clients and to provide outstanding experience-based learning to students. In addition to the 11 clinics, MLC also operates the SSDP, a program through which other law students can work with low-income clients seeking assistance with applications, re-applications, and denials of disability cash assistance or insurance. The Legal Assistant will make an important contribution to the dual mission of educating students and serving clients and will become part of the thriving clinical community at SLS.
THE WORK OF THE SOCIAL SECURITY DISABILITY PROJECT
Established in 2007, the SLS Social Security Disability Project--the Law School's only in-house pro bono project--gives students the opportunity to work directly with local mentally and physically disabled clients in need of representation in the filing and appealing of claims for Social Security disability benefits. Over the years, SLS students have successfully represented numerous clients at proceedings before Administrative Law Judges. They have obtained disability benefits on behalf of clients and have resolved many other payment disputes with the Social Security Administration.
PURPOSE
The Legal Assistant will have substantial responsibilities in a fast-paced and dynamic work environment involving competing priorities and deadlines. The right candidate will enjoy both team and independent work, excel at time management, and have strong interpersonal skills. A successful candidate will demonstrate follow through, and the ability to juggle multiple and sometimes competing projects and tasks. The Legal Assistant will need to demonstrate professional judgement, use discretion, and independent problem solving skills.

RESPONSIBILITIES
  • Work independently to provide administrative assistance to supervisors and students with maintenance of client cases, opening files, organizing and filing legal and medical records, submitting records and appeal forms to the Social Security Administration ("SSA") and other social service agencies, and scheduling court hearing dates
  • Coordinate and manage SSDP and deadline calendars with limited consultation, resolve calendaring conflicts and maintain the online case management system
  • Process and distribute time-sensitive documents effectively
  • Screen telephone calls and visitors. Extensive telephone and in-person interaction with clients, prospective clients and SSA personnel. Respond independently to inquiries when appropriate and make swift and accurate judgments in forwarding inquiries and requests to attorney or other offices in the Law School or University
  • Conduct client meetings as necessary
  • Assist and work with students on case management activities, including providing legal assistant and administrative support, helping students communicate with SSA personnel, and orienting students to SSDP administrative procedures and filing systems
  • Efficiently prioritize tasks and independently resolve administrative problems
  • Process a variety of financial transactions and produce, monitor, reconcile, and research budget statements as needed
  • May supervise day-to-day work of students and/or temporary workers, including managing workflow and deadlines, ensuring quality, and providing performance review input
  • Assist with other projects including those for the larger clinical education program as needed
    MINIMUM QUALIFICATIONS

    Education & Experience:
    Associate's Degree and three years of relevant experience, such as prior work as a legal assistant, social service case coordinator, or administrative assistant, or combination of education and relevant experience. Bachelor's degree strongly preferred.

    Knowledge, Skills and Abilities:
  • Demonstrated success in following through and completing projects; ability to take initiative and ownership of projects and all aspects of the Legal Assistant position
  • Ability and interest in communicating sensitively with people experiencing hardship situations and varying degrees of physical and mental disabilities
  • Excellent customer service and interpersonal skills
  • Strong written and oral communications skills, including proofreading skills
  • Desire and ability to work both independently and within departmental and project teams
  • Strong organizational skills and attention to detail
  • Proven ability to routinely and independently exercise sound judgement, maintain confidentiality, take initiative. Ability to distinguish between circumstances requiring independent judgment and those requiring supervisor consultation. Must be flexible and professional at all times
  • Ability to multitask effectively
  • Proficiency and demonstrated experience with general office software including Microsoft Office Suite and with general email applications
  • Proactive work style and history of collaborative teamwork

    PHYSICAL REQUIREMENTS
  • Constantly perform desk-based computer tasks
  • Frequent sitting
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds
  • Rarely twist/bend/stoop/squat, kneel/crawl
