Job Description:

Customer Service and Client Interaction                                                           

  • Greet clients and their animals in a friendly and confident manner as they check into the hospital. Check in and discharge clients. Relay medical information clearly and correctly from the doctor to the client when necessary. Direct clients and move, handle and/or restrain animals confidently as required during loading and unloading. Ensure all paperwork is completed and signed, review basic handouts with clients
  • Educate clients as to what they can expect during their visit. Review medical records to be aware of reason for visit, previous issues and concerns, and diagnosis. Determine animal requirements by reviewing care plans and records. Update clients as to what is happening with their animal during their visit. Resolve any problems that may come up for a client.
  • Administrative and Clerical Support     

  • Answer phones, book appointments and schedule follow up appointments. Call clients regarding their outstanding accounts. Scan medical records including uploading referring veterinarian records. Review and verify patient’s bill prior to discussing with client and make sure all charges have been entered. Ensure client is aware of all charges and understands bill. Enter daily charges. Ensure the clinician or student has reviewed the medications and how they are used.
  • Review bills with clients, answer questions, and process deposits and payments. Understand, explain and process all types of payment options including payment plans such as Care Credit. Accurately close out days end and balance drawer. Run daily, weekly and monthly reports as requested. Assist in end of month statement preparation and mailing.
  • Maintain Internal Communications, Work Flow and Patient Care                                               

  • Manage and direct patient flow in outpatient and inpatient receiving. Keep track of waiting time for clients and proactively intervene to minimize wait time. Notify service technician upon arrival of animal. Handle/restrain animals safely to obtain their weight, assist with exam, or move to another location. Assist in maintaining the Outpatient Stalls and patient intake area by helping to maintain a clean/sanitary and functionally organized clinical service area in accordance with hospital protocols and Bio-Security directives. Clean and maintain stock in respective hospital exam areas and lobby. Ensure all equipment, computers, and rooms are in working order and alert appropriate person when something needs fixed. Communicate with the Team Lead, Associate Director and/or Hospital Manager problems or issues with clients.
  • Advertised Salary:

     $14.00-$16.00 per hour, commensurate with experience

    Minimum Requirements:

    High school diploma and 2 years of work experience loading, unloading, restraining, handling horses or 1 year of work experience loading, unloading, restraining, and handling in a veterinary academic teaching hospital.

    Preferred Qualifications:
  • Excellent customer service skills. Must be experienced in the care and handling of horses and other large animals. Physical ability to handle, manipulate and restrain large animals.
  • Superior communication skills including on the telephone, by electronic mail and in person, as well as ability to read and compose grammatically correct sentences are critical to success on this position.
  • Intermediate computer skills. Ability to deal with the public in a tactful and courteous manner. Ability to plan, organize and coordinate daily tasks. Ability to perform basic arithmetic calculations involving money  Knowledge of Medical Terminology, veterinary medicine, medical records, and billing systems.
  • Ability to make timely decisions. Ability to work within a team and perform with minimum supervision. Ability to multitask as well as ability to set and change priorities in a face paced, high-pressure environment while maintaining a positive attitude. Ability to work accurately with attention to detail.
  • Ability to handle frequent interruptions, adapt to changes in workload, and work schedule. Ability to set priorities and solve problems.
