The School of Business Department of Accounting is seeking a full-time Administrative Services Assistant 4, UCP 6. The incumbent will report to the Department Head of Accounting and will provide overall administrative and academic support for accounting programs at the undergraduate, masters, and doctoral levels serving approximately 600 students. The position will be based at the Storrs campus. Occasional in-state travel to other campuses and evening hours maybe required in support of department, program or center events.

  • Representing and handling administrative matters for the department head; serving as a resource regarding department policies and procedures.
  • Performing office management duties; assisting in coordinating the department head's calendar.
  • Coordinating annual reporting activities such as promotion, tenure and reappointment (PTR) file preparation; the departmental annual report and reports for the School's accrediting agency.
  • Reviewing, processing and approving all financial transactions for department; preparing travel authorizations and reimbursements for departmental faculty.
  • Maintaining records of faculty use of supplemental teaching and research (STAR) accounts; tracking financial transactions for grants awarded to faculty.
  • Serving as the department's administrative contact with the School's UConn Foundation administrator; assisting in the departmental management of University and Foundation accounts.
  • Preparing and processing payroll paperwork and transactions for students, adjunct instructors and extra compensation for faculty.
  • Assisting the department head in preparation of departmental budget and in resolving budget issues.
  • Developing and maintaining departmental databases and filing system.
  • Planning/coordinating course scheduling at all campuses for all semesters (including summer and intersession) for all accounting offerings; managing student registrations for the Storrs campus which includes issuing permission numbers.
  • Planning, coordinating and scheduling all Accounting Department Advisory Council meetings; planning and coordinating the annual Accounting Banquet which has more than 300 attendees and 200 scholarships awarded.
  • Planning and managing alumni events such as the annual tailgate party; provides administrative support for faculty-led/advised student activities.
  • Working with the School's Office of Communications to develop content, edit, print and distribute communications to potential students, firms, and other universities.
  • Planning and coordinating schedules and making all arrangements for seminar speakers and faculty candidate visits.
  • Supervising, training and evaluating student employees, graduate assistants and support staff as appropriate.
  • Making all logistical arrangements for transitioning new faculty, including office assignments, telephone changes, computer/printer setup, etc.

  • Bachelor's degree and one to two years of related experience or equivalent combination of education and experience including five to ten years of experience in a progressively responsible administrative support position.
  • Demonstrated excellent verbal and written communication skills.
  • Demonstrated excellent interpersonal skills and ability to work effectively with faculty, staff, students and administrators as well as external agencies and the public.
  • Demonstrated administrative and organizational skills and proven experience taking initiative in and coordinating administrative functions responsibly, efficiently, effectively and independently using sound judgment.
  • Demonstrated ability to plan, organize and execute events.
  • Demonstrated supervisory ability.
  • Demonstrated ability to work well as part of a team.
  • Demonstrated proficiency using Microsoft Office products, particularly Excel, Word, PowerPoint and Outlook.
  • Willingness and ability to work evening or weekend hours on occasion in support of departmental activities.
  • Willingness and ability to travel in-state on occasion in support of departmental activities.

  • Bachelor's degree.
  • At least three years of professional experience working in a higher education setting in a university environment.
  • Demonstrated experience using a financial management system such as Kuali.
  • Demonstrated experience with a student administration system such as Peoplesoft.
  • Demonstrated experience handling travel logistics and processing travel reimbursements.
