Overview

The Ivy League Office Business Manager reports to the Deputy Executive Director and is responsible for the oversight of the day-to-day financial activity of the Ivy League, including advising department leadership and managing financial operations. This position is responsible for completing financial analyses of various accounts; ensuring that subsidiary records are accurate and support general ledger account balances; performs a variety of general accounting functions, including accounts payable and receivable; reviews and processes transactions; and reconciles various accounts with Princeton University's financial records.

Responsibilities

OVERSEE DEPARTMENT FINANCIAL OPERATIONS Establish, maintain, and monitor departmental accounting and recording procedures to ensure compliance with accounting best principles and practices and University policies; Develop and implement department processes and procedures to ensure financial control; Ensure that management of resources are in compliance with department and University guidelines and policies, and ensure that deadlines are met; Oversee part-time staff member.



PRODUCE FINANCIAL REPORTS Analyze financial data and provide timely updates for the executive director and deputy executive director. Produce financial reports for various Ivy League Committees, including semi-annual budget reports to the Ivy League Presidents, and regular expense and revenue reports to the Ivy League Directors of Athletics; Complete required expense reports to the NCAA, accounting for use of restricted funds.



MANAGE FINANCIAL TRANSACTIONS Monitor and approve all expenditures, including supplier invoices and travel and business expense reimbursements; Produce timely invoices and billing of outside constituents for receivables; Manage processes for sharing costs among Ivy League institutions for various projects, including championships, officiating, and special events. Stay current with changes in University policies, procedures, and financial processes.



LIAISON: Serve as the financial liaison between the Ivy League office and outside constituents, including business managers for eight Ivy League athletics departments, outside vendors, and university financial personnel, responding to their questions and requirements as needed.



OFFICE OPERATIONS Actively participate in office activities, including meetings, planning sessions, and meeting preparations. Assist with general office projects and other duties as assigned.

Qualifications

Bachelor's degree and minimum 4 years of accounting experience.



Proficient experience using University Prime Financial systems, and experience with Princeton University business applications required; Understanding of Princeton University policies and procedures, and familiarity with University Resources (Office of Finance and Treasury, Financial Service Center) is required;Proficient in Microsoft Office products, especially Excel and Word; Excellent organizational, interpersonal, and communication skills.
