Auxiliary Services Administrative Associate IV
Reporting directly to the Assistant Vice President of Auxiliary Services at Kennesaw State University, the Administrative Associate provides high-level administrative support and serves as the primary point of contact for the AVP. The Administrative Associate will also serve as a liaison to the Auxiliary leadership team and will organize, coordinate and oversee special projects on behalf of the AVP. This role requires the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills and the ability to maintain balance among multiple priorities in a fast-paced environment. Will often work independently on projects from conception to completion and must handle a wide variety of activities and treat confidential matters with discretion.
Will complete a wide variety of administrative tasks including but not limited to: monitor and screen, respond to and distribute incoming communications including phone calls; manage an active calendar of appointments on behalf of the AVP and Exec. Director with an understanding of how to manage conflicting priorities; plan and arrange meetings with multiple staff levels and stakeholders; prepare appropriate meeting agendas or collateral, take notes and distribute minutes as needed. Will be a subject matter expert on purchasing and procurement requirements for the department.
Will prepare and edit correspondence, communications, presentations and other documents as needed with an understanding of sensitive and confidential material. Will create and update a variety of ad hoc reports using Excel. Will act as a resource for developing and proofreading documents within the division.
Will assist the AVP and Executive Director with human resources initiatives including completing and/or gathering all paperwork required for job postings; providing follow up on approval chain, arranging hiring committees and scheduling interviews.
Build relationships and liaise with internal staff at all levels in a positive and productive manner. Interact with external clients as a positive representative of the University. Other duties as assigned.
Contingent funding: Funding for this position is based on revenue generated funds and therefore continued employment is based on availability of these funds.
Position requires driving to multi-campus locations and event sites.

Required Qualifications: High School diploma and 7 years administrative experience.
Considerable initiative, independent judgment and teamwork are essential.

- Previous higher education and Auxiliary Services experience a plus.
