The Administrative Specialist III is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and agency/institution policy.
Duties & Responsibilities:
The Administrative Specialist III assists the Director in typing, editing and developing reports, memos, distribution of Disability Services mail, and various other office assignments as assigned, and serves as the Program Assistant for adaptive testing.
Duties also include entering new student data into AbleAide program, run reports, develop charts, graphs, etc., tracking follow-up contacts with students when necessary, providing updated reports to the Director periodically, maintaining and compiling financial information for general office use, proposals and projects, monitoring expenditures and transfer of funds to ensure optimum operating efficiency, completing all paperwork for travel expenses, requisitions, etc., and maintaining inventory and order supplies, equipment, computers, technology and assistive devices.
Other responsibilities include supervise work study and part-time employees and monitor timeliness in all work areas, and establish and maintain work schedules, and prepare time reports for payroll on work study, part time employees and interpreters.
Maintain the Director's appointment calendar, prioritize, and respond to various types of correspondence as needed and assist in responding to tasks and requests in a timely manner, establish and interpret Disability Services policies to ensure consistent application, and provide information, assistance, and clarifications to interested parties concerning disability concerns, policies and procedures.
Maintain all office files, including filing confidential information in the student's files and assisting the Director in maintaining the confidentiality of all files, and display information that reflects diversity and current programs and issues important to the Office of Disability Services.
Perform other duties as assigned.
Knowledge of the principles and practices of mathematics and statistics, research and analysis techniques and methods, work-related subject area, and computers and software applications.
Ability to prepare, present, and review oral and written information and reports, research and analyze related work program information, develop, recommend, interpret, and apply policies and procedures, analyze financial records and prepare reports, and plan, organize, and direct the work of others.
8:00 a.m.-5:00 p.m.
The formal education equivalent of a High School Diploma.
One (1) year of specialized training in Business Management, Business Education, or a related field.
Three (3) years of experience in specialized or a related field applicable to work performed.
Other job related Education and/or Experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval or the qualifications review committee.
