Under the direction of the Director of the Health Center and the Director of the Counseling Center, the Administrative Assistant is responsible for a wide variety of administrative duties that facilitate the operations of the Counseling Center and Health Services.  The Administrative Assistant interacts with students in a highly sensitive environment and must be able to handle highly confidential information efficiently and appropriately. This is a part-time, 9-month position and the hours of this position are 4 hours per day, five days per week and include supporting extended evening hours (3pm – 7pm) two days per week in the Wellness Center. The work schedule for this position is Monday and Wednesday from 3pm – 7pm and Tuesday, Thursday and Friday from 11am to 3pm.

Responsibilities include but are not limited to:

Administrative/Budget Functions:

  • Acts as the receptionist for Health Services and the Counseling Center, greeting visitors, assisting them with their requests, making appointments, answering the phone, responding to correspondences and mailings.
  • Works collaboratively with the full time Administrative Assistant on daily tasks.
  • Responsible for the distribution of departmental communications, updating website and portal pages.
  • Processes all purchase orders, check requests, petty cash and capital expense items.

Office Management:

  • Familiar with the use of common office equipment includes copier, fax, scanner, printer, file maintenance and phone headset.
  • Inventories and requests office supplies.
  • Maintains office and waiting room environment.  Updates necessary forms and bulletin boards for both departments.

Database Management:

  • Assists with maintaining immunization database and contacting non-compliant students.
  • Assists Counseling Center staff with gathering statistical data and completing data entry.
  • Responsible for database management based on departmental needs.

Health Services Management:

  • Responsible for the filing and maintenance of student health files.
  • Responsible for scheduling appointments using an electronic medical record and notifying clinical professionals of emergencies, overbookings, and back log of patients.
  • Responsible for obtaining all required documentation during check-in process.
  • Responsible for receiving and distributing medical billing documents to appropriate parties.

Counseling Center Management:

  • Responsible for the filing and maintenance of student Counseling Center files (current and archived).
  • Responsible for scheduling appointments using an electronic medical record and notifying clinical professionals of emergencies, overbookings, and back log of patients.
  • Responsible for obtaining all required documentation during check-in process.
  • Responsible for responding to urgent and emergent issues and requests by following established protocols.
  • Responsible for running statistical and expense reports as assigned by Director of the Counseling Center.

Minimum Qualifications:

  • High School diploma.
  • Two years of secretarial/administrative experience in a Healthcare setting.
  • Familiar with the maintenance of medical records and medical terminology.
  • Strong computer skills with knowledge of Microsoft Outlook, Word and Excel.
  • Ability to prioritize tasks and remain productive amidst multiple interruptions. 
  • Ability to handle highly confidential information.

Preferred Qualifications:

  • Business or Associates degree is preferred.
  • Previous experience in a college Health/Counseling Center is a plus.
  • Working knowledge of Banner and familiarity with electronic medical records.
