Overview:

Under the general supervision of the Dean, Associate Dean and Manager of Special Projects of the College, this position provides general administrative functions to the College which are usually operational and procedural in natural. The incumbent plans and executes a variety of project oriented activities for the Dean's Office. The incumbent will coordinate clerical and administrative support functions for the Dean's Office. Projects involve a wide range of problems requiring use of reason and judgment, interpretation of policies, and contact with individuals at all levels of the University and individuals on and off-campus.

Position Summary:

	
  • Assist with general office administrative support and coordination, including interacting with multiple levels of the university, community, students, and all affiliates for a complex administrative office
  • 	
  • Serve as the support coordinator, public contact and receptionist for the Dean's Office
  • 	
  • Process and distribute incoming mail
  • 	
  • Manage office supplies and prepare orders as necessary
  • 	
  • Oversee office student assistants including training, scheduling of workload, assignments and work schedules
  • 	
  • Maintain office equipment and office and building maintenance projects and prepare service requests as necessary
  • 	
  • Review and process monthly student assistant timesheets for college student payroll
  • 	
  • Manage college calendars, listservs, and electronic filing and mail logs for office
  • 	
  • Serve as the Dean's Office safety coordinator
  • 	
  • Prepare state and foundation accounting and purchasing transactions as needed
  • 	
  • Process Travel applications, travel claims, concur transactions and monitor travel arrangements
  • 	
  • Prepare stateside and foundation forms, e.g. Adjustment Budget Journals, Transfers of Income and Expenses and Transfer of Payroll
  • 	
  • Scheduleg and arrange special events, meetings and lunches including preparations of agenda, meeting notes and distribution of minutes

  • Maintain up-to-date knowledge of campus policies, forms and procedures
  • Knowledge, Skills & Abilities:

    	
  • Thorough knowledge of applicable university infrastructure, policies and procedures
  • 	
  • Thorough knowledge of the English grammar, punctuation and spelling
  • 	
  • Thorough knowledge of office systems and ability to use a broad range of technology, systems, and software packages (Microsoft Office Suite, Google, email, calendar).
  • 	
  • Working knowledge of budget policies and procedures
  • Ability to:

    	
  • Independently handle multiple work unit priorities and projects
  • 	
  • Apply independently a wide variety of complex policies and procedures where specific guidelines may not exist
  • 	
  • Perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections
  • 	
  • Draft and compose correspondence and standard reports.
  • 	
  • Handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature
  • Education and Experience:

    	
  • A high school diploma, technical/vocational program, or their equivalents
  • 	
  • Three years of related, progressively responsible clerical experience
  • 	
  • A history of regular attendance and positive performance evaluations
  • Preferred Skills:

    	
  • Comparable work experience in a higher education setting
  • 	
  • Work experience in the CSU System
  • 	
  • Advanced skills in word processing and maintenance of electronic spreadsheets
  • 	
  • Work experience in website content development
