JOB PURPOSE:


The Department of Theater and Performance Studies (TAPS) seeks a creative and energetic Marketing and Special Events Assistant.


The Marketing and Special Events Assistant will be responsible for the administrative duties associated with marketing and publicizing TAPS produced productions and events; overseeing the online Box Office, ticketing, customer service, and Front of House (FOH) duties for TAPS productions; creating and promoting TAPS social media content; assisting in the planning and execution of Department special events; and occasional publicizing of academic programs and internal information. The Marketing and Special Events Assistant will be required to work nights and weekends regularly during the academic year.


Principal duties and responsibilities include, but are limited* to:


ADMINISTRATIVE/EVENT PLANNING

  • Assist in planning, tracking, and communicating workable schedules and deadlines

  • Coordinate and negotiate with vendors, including printers, advertising venues, etc.

  • Arrange catering and event design for department receptions, lunches, parties, etc.

  • Record and verify financial transactions

  • Assist in set-up for special events

  • Gather, organize, and carefully proof content for production programs, advertisements, press releases, websites, calendars, etc.

  • Maintain an accurate and up-to-date internal list of all department events and corresponding event information

  • Maintain, procure, and organize office and box office supplies

  • Assist in finding, hiring, and arranging compensation for student box office staff, FOH staff, student office assistants, event photographers, etc.

  • Foresee and take steps to avoid potential conflicts in department event scheduling

  • Other administrative duties requested by the Department Administrator


    PUBLICITY/MARKETING

  • Develop strategies and create digital content for TAPS social media accounts

  • Film and produce promotional video content

  • Participate in developing and implementing overall marketing strategies

  • Generate content and update department news on TAPS blogs

  • Occasionally design electronic and print advertisements for events, academic courses, etc.

  • Post TAPS events to external online calendars, as well as manage internal event calendars

  • Maintain and update patron mailing lists

  • Operate as principal contact for press and co-sponsor (extra-departmental) inquiries

  • Coordinate and fulfill press and extra-departmental requests for photographs, press releases, press tickets, etc.


    BOX OFFICE ADMINISTRATION

  • Set up events in online box office (via Vendini)

  • Determine and track ticket inventory for all TAPS productions

  • Solicit and track all complimentary ticket requests from department members, cast, crew, VIPs, etc.

  • Print and sort tickets/envelopes for TAPS performances

  • Serve as primary customer service contact for patron inquiries


    FRONT OF HOUSE (FOH) SUPERVISION

  • Serve as FOH Manager for all performances and events requiring supervision, most often on evenings and/or weekends

  • Hire, schedule, train, and supervise all FOH staff


    CORE DUTIES*:

  • Provide administrative support to marketing team.

  • Assist with marketing plans/programs to meet business objectives, including coordinating with internal stakeholders.

  • Draft, edit, and schedule select marketing communications for a variety of channels (i.e., web, print, email).

  • Monitor, track, and report marketing program effectiveness.

  • Review and report post-event/program/campaign data.

  • Assist in quality control of data and marketing materials.

  • Support the planning and execution of events.

  • Support the creation and launch of tools and processes to improve marketing efforts.

  • Contribute to vendor selection, arrangements, and scheduling.

  • Coordinate vendor estimates and invoice processing.

  • Develop an understanding of organization's major programs, services, events and products.

    MINIMUM REQUIREMENTS:


    Education & Experience:

    Bachelor's degree or a combination of education and relevant experience.

    Knowledge, Skills and Abilities:

  • Strong oral and written communication skills.

  • Familiarity with social media outlets (Facebook, Twitter, Vimeo, etc.)

  • Knowledge of student life and internal workings of Stanford University

  • Experience with the process of mounting and marketing live performance

  • Experience with video filming and editing

  • Experience with web design, including HTML5, Javascript and CSS

  • Creative event planning skills

  • Experience in marketing and social media strategy and management

  • Self-motivation, enthusiasm, creativity, and positivity

  • Highly organized and creative.

  • Analytical and problem-solving skills.

  • Ability to work independently to meet expected deadlines and schedules.

  • Demonstrated team player.

    None


    PHYSICAL REQUIREMENTS*:

  • Constantly perform desk-based computer tasks.

  • Frequently stand/walk, sit, use a telephone, grasp lightly/fine manipulation, speaking.

  • Occasionally grasp forcefully, writing by hand.

  • Rarely sort/file paperwork.
