JOB PURPOSE:

With minimal supervision, participate in the development and implementation of marketing initiatives that enable programs, services and events to meet business unit objectives. Support cross-functional collaboration by working with university web and OSEP teams.

Office of Special Events & Protocol Information:

The Office of Special Events & Protocol (OSEP), a division within the University's Office of Development, is responsible for the production, design and implementation of many of the university's major public ceremonies, including Commencement and other high profile special events. This includes managing special visits by heads-of- state and other high-profile individuals, and producing special events hosted by the University President and Provost. OSEP provides event planning, event management and diplomatic protocol expertise for members of the Stanford community in support of high-level national and international delegations to the Stanford campus. The department also creates and oversees on behalf of the university its event policies, procedures, and non-academic event space usage; and provides event planning education and training services to Stanford faculty, staff and students.
Reporting to OSEP's Senior Associate Director, the Assistant Project Manager should be a motivated, collaborative colleague who can provide marketing, website content, and event support to OSEP.

CORE DUTIES*

  • Execute marketing strategies to meet OSEP objectives including supporting the technical development and maintenance of online content.
  • Help to implement marketing plans/programs to meet unit objectives, including design and development of online and collateral projects and materials.
  • Manage the design and production of select OSEP marketing materials, training materials, policy communications, and best practices.
  • Analyze event effectiveness to support decisions regarding strategic marketing direction, online content updating and new website launch.
  • Conduct competitive benchmarking and policy research as assigned by the Executive Director. Prepare data summaries, initiate and maintain project files.
  • Assist with Commencement Weekend financial arrangements regarding event vendors, purchase orders and invoice processing.
  • May participate in and provide support on day of events that OSEP manages or produces.

    * Other duties may also be assigned.
    Education & Experience:

    Bachelor's degree and two years of relevant experience; or a combination of education and relevant experience. Experience at an institution of higher education a plus.

    Knowledge, Skills and Abilities:

  • Knowledge of marketing across channels including digital and print.
  • Previous experience in product, program and/or services marketing.
  • Ability to work independently to meet expected deadlines and schedules.
  • Experience with managing projects.
  • Familiar with market research and data analysis.
  • Creative problem solver.
  • Excellent oral and written skills.
  • Familiarity with website content support using the Drupal platform for updates and revisions.

    Additional Knowledge, Skills and Abilities Sought Include:

  • Demonstrated ability to problem solve, take initiative, and use thoughtful, sound decision-making approaches to tasks.
  • Advanced computer skills and demonstrated experience with Microsoft Office Suite. Knowledge of cloud applications such as Google Docs and Forms and Adobe Creative Cloud a plus.
  • Ability to strategize and conceptualize on special research projects and be able to translate these data into clear, specific reports.
  • Ability to cultivate working partnerships with colleagues and successfully interact with varied constituencies throughout the university as well as the general public, and business vendors.
  • Know when to consult with senior management and when to make decisions independently.
  • Ability to maintain discretion regarding important and/or sensitive information.

    Certifications and Licenses:

    Valid Non-Commercial Class California Driver's License. Ability to obtain and maintain a California Non-commercial Class license and drive day or night.

    PHYSICAL REQUIREMENTS*:

  • Frequently perform desk-based computer tasks, stand/walk, sit, use a telephone.
  • Occasionally light/fine grasping, lift/carry/push/pull objects that weigh up to 10 pounds, writing by hand.
  • Ability to obtain and maintain a Non-commercial Class Driver's license.
