Job Description: POSITION TITLE: TEMPORARY SECRETARY, REGISTRATION AND INFORMATION CFDAFS-TEMP01 STATUS: Temporary Full time (Grant Funded) DEPARTMENT: Department of Adult Education and Literacy (DAEL) DIVISION: Academic Affairs CLASSIFICATION: Non-exempt UNION: Clerical REPORTS TO: Manager, Records and Reporting PLACEMENT: Clerical Grade 6 MINIMUM PAY RATE: Minimum salary $18.11 per hour Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. POSITION SUMMARY This TEMPORARY clerical position provides essential support to the professional and administrative staff of the department. Serves as a receptionist, distributes information, assists students and faculty, registers students for required orientation/assessment/placement sessions, performs data entry, develops and maintains student and other files, and operates the department's front office. ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES 1. Serve as receptionist and front-line information dispenser; receive and direct visitors and students to appropriate offices, resources or classrooms. 2. Receive incoming telephone calls, faxes and electronic messages; direct to proper parties; process requests for information appropriately. 3. Register participants and provide programmatic information to public. 4. Assist participants in the completion of intake and assessment activities; refer to appropriate DAEL staff for services. 5. Perform data entry (including DAIS-I, IRIS, and Datatel/Colleague) and create/maintain student and other files. 6. Word process documents, create/update spreadsheets and database applications, and perform other clerical functions to support the professional and other staff of the department. 7. Maintain inventory and oversee the purchase of supplies from Central Stores and outside vendors. 8. Assist in the reproduction and mailing of promotional materials. 9. Prepare mailings for distribution. 10. Open and close selective facilities as required, maintain cleanliness and general appearance of facilities. 11. Perform other related duties as assigned. MINIMUM QUALIFICATIONS 1. High school diploma or equivalent. 2. Three (3) years successful experience in an office. 3. Strong personal computer skills with intermediate knowledge of several software applications including Microsoft Office Word and Excel, email and Internet. 4. Ability to perform multiple tasks simultaneously. 5. Ability to work both independently and as a team member. 6. Attentiveness to detail, effective organizational skills, initiative and multitasking. 7. Strong verbal and written communication skills, and ability and willingness to work cooperatively with a diverse population. 8. Must have reliable transportation and valid driver's license.
