Position Description

Advertised Job Summary

Under general supervision of the assigned supervisor, the Administrative Assistant will provide a wide range of administrative support primarily to the primary care department within Student Health Services (SHS). Incumbent must exercise independence with daily opening and/or closing procedures. Individual will assist with running, organizing and maintaining the reception and lobby areas of a busy health center by performing multifaceted administrative, organizational and clerical duties. Incumbent will facilitate efficient scheduling of patients/clients within Student Health Services and community-based referrals, and complete patient releases for their protected health information and documentation in accordance with local, state and federal laws. Incumbent will welcome patients/clients and visitors in a respectful and courteous manner while handling heavy telephone volumes and ensuring that callers or those presenting in person are assisted in a timely and efficient manner. This individual will also scan protected health and insurance information into the Electronic Health Record. Patient/client check in will be facilitated in a timely and efficient manner which will include verification of eligibility for care and treatment. Individual will be responsible for collecting payment and authorizing patient tickets for billing and must work within all HIPAA privacy regulations. Once fully acclimated, the incumbent will assist in the training of new staff. This position will perform complex administrative support functions which include running and/or uploading various reports. Position requires an individual that is highly engaged, demonstrated good judgment, critical thinking skills and who can quickly make well-informed and intelligent decisions. The typical work week is Monday thru Friday 8:00am- 5:00pm but may be adjusted according to the needs of the department. The position may require Sunday hours on a rotating basis. Position will typically work 40 hours per/week, however based on duties of position, individual may be called to assist with campus and individual crisis during evenings and weekends and during peak periods of high patient volume.

Minimum Qualifications (Classified and Unclassified positions)

Bachelor's degree or a high school diploma and 4 years work experience that is directly related to the area of employment.

Preferred Qualifications

The incumbent should have experience in a similar medical office/clinic setting. Effective interpersonal skills, good judgment, decorum, flexibility, and the ability to prioritize are essential. Individual should be proficient in the use of Microsoft Office. Experience using database systems and/or electronic health record systems is highly preferred. Knowledge of medical terminology is preferred. Current CPR certification (or willingness to obtain).

Knowledge/Skills/Abilities

This position requires a high level of clerical, critical thinking and interpersonal skills. Individual must be professional, have excellent telephone etiquette and interact in a supportive manner with patients/clients, visitors and staff from all backgrounds. Knowledge of health care delivery models, patient support activities and HIPAA. Ability to provide excellent customer service both in person and over the telephone. Skills to react in a positive manner to customer/patient/client concerns and function effectively in a high-volume health care setting. Ability to cross-train in other areas. Ability to multi-task, stay organized and demonstrate problem solving skills in a busy patient care environment. Able to recognize and respond to urgent or unusual situations typically encountered in a health care environment. Proficient computer and telephone skills and the ability to work with a high level of job accuracy, efficiency, and dependability. Ability to work independently with minimum supervision and to exercise good judgment and discretion. Sound knowledge of office procedures and equipment and electronic medical records. Ability to work effectively in a team.
