Position Summary:

The Assistant Registrar is responsible for the audit of degree plans, the verification the accuracy of data input into the student academic record, and the implementation of registration processes.

Duties & Responsibilities:

The Assistant Registrar will run reports on the days agreed upon or request existing reports as necessary as the program grows. Reports include, but are not limited to, admitted not registered (Monday, Wednesday and Friday except during peak times ran more often) for all programs, requests for Tennessee Documents (TTH), audit reporting (not in program trying to take AP course or in the program trying to take courses outside the program), and run missing e-mail report Monday, Wednesday and Friday. Additional reporting maybe added as the necessity arises.

This individual will also assist students with registration problems within two hours, or, during peak times, within one day, scan and index necessary support documents, collect and document receipt of Tennessee Documents and other states as the program expands (these should be processed within a 24 hour period of receiving them), assist with transfer work entry when needed, send emails to remind student to register for classes, fees and of the deadlines for AP or announcements that arise and need to be shared, and assist in graduation processing of AP students.

In addition, the Assistant Registrar will send course registration materials to admitted participants, send reminder correspondence to participants, send general announcements to all students, log correspondence, automate correspondence as program grows, and send emails to students for missing documents needed for Academic Partnership (i.e. forms requested by the various states). Communications should be sent during the work hours on the day requested or the next morning if requested late in the day.

Other responsibilities include processing Transfer sheets from Graduate School within 24 hours of receiving the e-mail from Registrar, answering AP phone calls and emails daily, and keeping an up to date procedures manual.

Perform other job duties as assigned.


Knowledge of computers and software application programs, database management and basic accounting principles, and registration processes.

Ability to conduct research and perform basic quantitative quality assurance reviews, plan, organize, and coordinate activities, resources, and materials associated with the needs of the department or program, and counsel students and families.

General Days/Hours:

Monday-Friday 12:00-8:00 p.m.
Saturday 9:00 a.m.-2:00 p.m.

Minimum Qualifications:

The formal education equivalent of a Bachelor's Degree in Business Administration or a related field.

Two (2) years of experience in Higher Education Administration.

Other job related Education and/or Experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval or the qualifications review committee.
