The Institute of Materials Science, Polymer Program is seeking applicants for a full-time Administrative Services Assistant 3 (UCP 4) for the University of Connecticut. The Program is a nationally and internationally recognized center of excellence for interdisciplinary research and education in the fields of polymer science and engineering. The Program is dedicated to meeting the educational needs of its graduate and professional students; to providing lifelong learning opportunities in the study of polymeric materials; to assisting Connecticut industry in developing polymer technology; and to developing the knowledge base regarding polymeric materials and in disseminating this knowledge on a global basis. The incumbent in this position will report to the Polymer Program Department Head 50% time and the other 50% to the Assistant Finance Director of the Institute. The incumbent in this position will assist in managing a number of administrative functions, with narrow authority to regularly make independent decisions, exercise independent judgement and resolve problems that are central to the operation.

DUTIES AND RESPONSIBILITIES
  1. Provide program support to the Department Head for the Polymer Program, including recruitment, admissions, registration, and records.
  2. Perform office management duties, direct the workflow and processing of administrative paperwork, resolve problems and handle routine administrative matters related to the department and program operations for the department head and implements improvements as necessary.
  3. Draft and/or edit routine correspondence and other documents for supervisor's review and/or signature; may make routine decisions in supervisor's absence.
  4. Prepare narrative and informational reports, which requires researching, compiling and organizing information related to admissions, annual reports, and surveys.
  5. Coordinate the workflow and processing of administrative paperwork of the Polymer and Materials Science Program, which may include purchasing, accounts payable, payroll and travel.
  6. Coordinate events such as departmental seminars, advisory board meetings, orientations and prospective student visits, which may include coordination of meetings and travel.
  7. Prepare documents and coordinate with the International Students and Scholars Office and the Office of the General Counsel regarding visas and renewals for international employees and guests.
  8. Serve as a resource to faculty, staff, and students regarding University policies, which may include travel, payroll, purchasing, promotion, tenure and reappointment, searches, consulting, etc.
  9. Prepare schedule of courses and coordinate registration.
  10. Coordinate financial support and teaching assignments for courses for graduate students as part of their academic requirements.
  11. Manage the fiscal matters, including the monitoring and stewardship of UConn Foundation accounts; prepare, manage and maintain Departmental budgets and make decisions on the appropriateness of requested expenditures.
  12. Monitor, manage, review, and process all personnel matters and actions regarding faculty, staff, special, graduate assistant and student payroll.
  13. Supervise, train, and evaluate support staff determining work assignments and schedule to accommodate priority needs, as well as for student support staff.
  14. Represent the Department to other University and external agencies, including IMS industrial Advisory board members.
  15. Responsible for planning and coordination of Advisory Board and Department Faculty Meetings.
  16. Compose reports, maintain and collect informational materials
  17. Perform related duties as required.

MINIMUM QUALIFICATIONS
  1. Bachelor's degree or equivalent combination of education and experience including 4-8 years' experience in a progressively responsible administrative support position.
  2. Excellent interpersonal skills and ability to work effectively with the department/University staff and other individuals and groups.
  3. Ability to resolve administrative problems efficiently, effectively and independently.

PREFERRED QUALIFICATIONS
  1. Experience working in a higher education setting.
  2. Demonstrates excellent written and verbal communication.
  3. Strong organizational skills.
  4. Excellent computer skills including experience with Microsoft programs and PeopleSoft.

APPOINTMENT TERMS

This is a full time permanent position, with excellent healthcare and retirement benefits package. The anticipated salary is mid 40's, or will be based on experience.
