Position Description

Advertised Job Summary

Will serve as the Office Manager for the DASIV SmartState Center by performing various administrative duties for the SmartState Chair regarding structuring and managing of the Center. This includes budget planning; recording, gathering and generating relevant fiscal information; monitoring the status of ongoing projects; writing reports; generating and maintaining a website including special presentations; personnel management; procurement; assisting with the preparation of grant proposals; serving as liaison with external offices and institutions; monitoring grant accounts; scheduling and organizing meetings, seminars and conferences; making travel arrangements; coordinating research visits to the Center by collaborators; etc.

The candidate will also assist the Chair in all administrative tasks regarding his departmental duties as a Professor in the Department of Mathematics and the Williams-Hedberg-Hedberg Endowed Chair of Mathematics.

To assist the Chair in maintaining his current position as a Co-editor-in-Chief of the journal Constructive Approximation it is important that the candidate can effectively perform journal correspondence with the editorial office, associate editors and referees; collect journal submissions; and manage the review process. Additional assistance in following up on editorial duties for about ten other journals is also required.

Minimum Qualifications (Classified and Unclassified positions)

Master's degree and 4 years related experience in business, public administration or administrative services, or bachelor's degree and 6 years related experience; or equivalency.

Preferred Qualifications

Prefer experience in the use of USC budgeting tools (DataWarehouse, WORKS, USCERA, Accounting Intranet, PeopleSoft). Considerable knowledge of business administration procedures including personnel, fiscal operations and organizational management. Thorough knowledge of USC Policies and Procedures, state and federal regulations related to contracts, grants and procurements; Experience with federal, state, and foundation contracts and grants.


Minimum qualifications include: the ability to exercise judgment and discretion; ability to establish and maintain effective working relationships; and ability to interpret and apply regulations, policies and procedures. It is essential that the candidate be able to work with minimal supervision; demonstrate effective time management skills to manage multiple tasks and handle deadline pressures with minimal oversight; is dedicated to exceptional customer service; demonstrates effective oral and written communication skills; and is highly motivated.
