Testing Assistant (Administrative Support Assistant I)

Organizational Description:

TheBulldog Testing Center (BTC) is a campus facility that helps both faculty and students with their testing needs. We provide a proctored, secure, quiet, relaxing environmentfor test takers and a simple process for faculty to set-up the exam via email. Our facility administersearly takes and make-ups for exams that have or will be given in the classroom. The BTC also provides an excellent testing environment for department exams such as the Calculus Readiness Test(CRT),US ConstitutionTest, and the Upper Division Writing Exam (UDWE).

Overview:

Under the general supervision of the Director of the Bulldog Testing Center, the Testing Assistant applies standard guidelines, procedures and practices in performing check-in, proctor and clerical work assignments in support of the Bulldog Testing Center. These assignments require close work with students, non-student test takers, instructors, proctors, and co-workers to facilitate smooth, timely, accurate and secure test administration and processing. Incumbent must be able to work a flexible schedule.

Position Summary:

	
  • Provide general departmental administrative support, including processing mail (standard and electronic), maintaining files and records, scheduling and arranging appointments, providing budget support, processing of documents and records, gathering data, preparing standard reports and interacting with and solving problems for work unit customers and staff.

  • Create and post directional signs, greet test takers, verify identification, check examinees into test location, process payments as needed, direct examinees to seats, distribute and collect exam materials, read directions, monitor examinees during exam sessions, maintain test security to ensure confidentiality and integrity of test materials, enforce testing rules, and address issues immediately and appropriately in accordance with established policies and guidelines

  • Maintain test security to ensure confidentiality and integrity of the entire examination process
  • 	
  • Oversee the monitoring of test taker conduct during examinations, collaborating with the Testing Associates and Director to address breaches of policies and resolve exam-related emergencies
  • 	
  • Complete and maintain required vendor training and certifications needed to administer and proctor professional tests
  • 	
  • Assist with training new staff, student assistants and part-time exam proctors
  • 	
  • Assist with coordination of the day-to-day operations of the Test Centers
  • Secondary Duties of the job include:

    	
  • Assist with the development and dissemination of information and materials regarding the Bulldog Testing Center and their programs
  • 	
  • Assist in long range planning and evaluation of the Bulldog Testing Center.
  • 	
  • Assist with monitoring examinees in the event of proctor absence.
  • Knowledge, Skills & Abilities:

    	
  • Basic knowledge of applicable university infrastructure, policies, and procedures
  • 	
  • Working knowledge of English grammar, spelling, and punctuation
  • 	
  • Fundamental writing and presentation skills to effectively communicate standard information
  • Ability to:

    	
  • Use standard office equipment
  • 	
  • Use standard word processing and related computer software packages (Microsoft Office Suite, email, calendar)
  • 	
  • Identify and solve standard problems and refer more complex problems to appropriate staff

  • Perform basic mathematical functions

  • Respond to routine inquiries and explain standard policies and procedures to others
  • Education and Experience:

    	
  • Completion of a high school program or its equivalent
  • 	
  • One year of comparable experience working in an office environment
  • 	
  • History of regular attendance and positive performance appraisals
  • Specialized Skills:

    	
  • Ability to work a flexible schedule, including Saturdays as needed
  • Preferred Skills:

    	
  • Bachelor's degree or completed college coursework in test measurement and statistics
  • 	
  • Knowledge of standardized testing procedures, scheduling and planning techniques
  • 	
  • Knowledge of registration software (e.g, Register Blast preferred)
  • 	
  • Knowledge of specialized testing software (e.g., Digital Desk preferred)
  • 	
  • One or more years of recent professional experience with standardized testing policies and procedures at a university or in an academic setting
  • 	
  • Experience with PeopleSoft
  • 	
  • Experience with computer based testing
  • 	
  • Experience with Blackboard
  • 	
  • Experience supervising student assistants
  • 	
  • Experience with scanner and Scantron equipment
  • 	
  • Experience to be fully functional in all technical aspects of work assignments including use of standard office equipment, word processing, office systems and ability to use a broader range of technology, systems and packages(to include working knowledge of MS Word, Excel, and competency in using technology to administer exams)
  • 	
  • High level of demonstrated integrity, as well as the ability to work with confidential information in a professional manner
  • 	
  • Possess a professional demeanor in both dress and manner, and must be punctual and reliable
  • 	
  • Demonstrated ability to exercise strong time management and organizational skills, and to work with a high degree of accuracy and attention to detail in a multi-tasked, deadline driven environment
