Job Summary

The Director of Advancement Services oversees day-to-day operations of the MDC Foundation including donor database, donor relations, budgeting, gift acknowledgement, and other systems. This is a Professional Exempt Contractual (PEC) position for which an annual contract reflecting the base salary within the fiscal year (July 1st to June 30th) will be issued after ratification by Miami Dade College's District Board of Trustees.

Duties & Responsibilities

  • Prepares annual stewardship reports to donors, routine and ad hoc queries, exports and reports as needed for internal and external reporting such as Quarterly internal fund reports and the annual CAE Voluntary Support of Education (VSE) external report
  • Ensures all foundation gifts receive acknowledgement letters in accordance with Foundation, IRS and CASE rules and guidelines, on behalf of the Executive Director, College and Campus Presidents
  • Assists in planning and implementing small donor cultivation and recognition events
  • Administers the Raisers Edge, Financial Edge, and Blackbaud NetCommunity information systems, including granting user access and ensuring data integrity is maintained
  • Assists in creating, updating and managing Blackbaud NetCommunity websites, particularly those relating to event registration and online donation sites
  • Imports all MDC graduates into the Raisers Edge database on an annual basis
  • Oversees and coordinates procedures for accepting gifts and payments for off-site events
  • Ensures Raisers Edge, Financial Edge, and Blackbaud NetCommunity systems are maintained, patched, and updated as needed to maintain high levels of performance, access, and reliability
  • Supervises the Database and Reports Analyst to ensure that all gift processing and reporting is completed on a timely basis
  • Trains Foundation staff on use of all Foundation information systems
  • Works with Foundation team to develop and implement targeted lists for strategic fundraising purposes
  • Works with the Executive Director to define, recommend, and implement policies and procedures to support fundraising efforts, systems support, data integrity and security, and gift processing and oversight
  • Works with the Executive Director to prepare and create the annual operating budget for the MDC Foundation
  • Works with Foundation Director of Finance to ensure that fundraising data and financial data is accurate and reconciled on a regular basis
  • Performs other duties as assigned

Minimum Requirements

  • Masters degree in related discipline and four (4) years of successful leadership in an educational or non-profit environment managing and administering related information systems; or Bachelors degree and eight (8) years of successful leadership in an educational or non-profit environment managing and administering related information systems
  • All educational degrees must be from a regionally accredited institution
  • Knowledge and understanding of College organization, goals, and objectives, and policies and procedures
  • Strong commitment to the ethical handling and management of donor and alumnae information
  • Knowledge of budgeting cost estimating, and fiscal management principles and procedures
  • Skill in the use of personal computers and related software applications
  • Skill in the management and administration of relational database management systems (RDBMS) as well as other Information systems
  • Skill in strategic database segmentation
  • Ability to plan and implement promotional programs. Ability to design and write promotional material
  • Ability to develop and supervise volunteers
  • Ability to plan, organize, and facilitate a range of special events
  • Ability to supervise and train employees, to include organizing, prioritizing, and scheduling work assignments
  • Ability to develop, prepare, and deliver effective education programs, seminars and workshops relating to Foundation Information Systems
  • Ability to work a flexible schedule that may include evening and weekend assignments
  • Ability to work in a multi-ethnic and multi-cultural environment with students, faculty and staff
