Job Summary


The Professional Assistant is responsible for assisting the Dean with the proper functioning and smooth operation of day-to-day operations of the department by utilizing sound professional managerial decisions.


Duties & Responsibilities


  • Assists in the process of scheduling courses and full-time/part-time faculty
  • Assumes responsibility of the Dean in his/her absence
  • Provides academic and career advisement for students including new and transfer students
  • Reviews applicant's portfolios and aids in admission decisions
  • Coordinates and oversees department events
  • Coordinates and manages departmental personnel paperwork
  • Assists with interviewing, hiring, and managing adjunct faculty
  • Assists with employee orientations and training
  • Works with personnel in the department to identify equipment and facility needs
  • Assists faculty with the books/materials ordering and distribution
  • Ensures the availability of program information
  • Assists the department with academic student services
  • Assists the dean with planning recruitment and retention activities
  • Updates and maintains the departmental database
  • Verifies graduation eligibility for both Associate and Bachelor Degrees as applicable
  • Performs other duties as assigned



Minimum Requirements


  • Master's degree in a related field and one (1) year of professional level experience; or Bachelor's degree in a related field and three (3) years of professional level experience
  • All degrees must be from a regionally accredited institution
  • Knowledge and understanding of college organization, goals, and objectives, policies and procedures
  • Ability to work on multiple projects simultaneously and work well under limited time constraints
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations
  • Ability to write reports, business correspondence, and procedure manuals
  • Ability to establish and maintain working relationships, present information, and respond to questions from groups of managers, clients, customers and the general public
  • Ability to analyze a variety of administrative problems, to make sound recommendations as to their solution and to prepare working procedures
  • Skill in budget preparation and fiscal management
  • Knowledge of Microsoft office software an specific computer programs related to areas of responsibility
  • Ability to work a flexible schedule that may include evening and weekend assignments
  • Ability to work effectively in a multi-ethnic and multi-cultural environment with students, faculty and staff
