Senior Communications and Donor Relations Specialist for Trinity College and The Graduate School University Development Office The Senior Communications and Donor Relations Specialist in the Development Office for Trinity College and The Graduate School serves as the liaison to development colleagues in University Development and the schools/units, representing the office on issues related to proposal development, communications, donor relations, and board management. The Senior Communications and Donor Relations Specialist executes programs in support of the philanthropic goals of Trinity College and The Graduate School by working with development colleagues, Communication Directors in Trinity College and the Graduate School, Arts and Sciences faculty, and others as needed. The Senior Communications and Donor Relations Specialist reports to the Senior Assistant Vice President for Trinity College and The Graduate School.
Communications and Proposal Development:
• In coordination with the Sr. Assistant Vice President and in consultation with colleagues in Development Communications, develop content for frontline fundraisers to use in proposals to support research, programs, and undergraduate and graduate education
• Coordinate with Development Communications staff to develop templates and generic proposals for strategic academic priorities in Arts & Sciences of at least $250,000 that reflectthe vision of top academic leadership in Arts & Sciences and The Graduate School.
• Serve as liaison to the divisional deans within Arts & Sciences and the academic leadership within The Graduate School to aggregate information on priorities
• In collaboration with the Associate Dean for Arts & Sciences Communications and the Senior Public Affairs Officer and Communications Strategist, serve as the primary resource to the departments and certificate programs in Trinity College of Arts and Sciences. Responsibilities include, but are not limited to:
o Developing templates for departmental newsletters
o Coordinating the distribution of communications from department and programs to targeted alumni groups
• Work with departments to identify and engage both undergraduate and graduate alumni in the departments' educational missions, as appropriate;
• Research multiple electronic news sources and summarize articles of interest (including insertion of photos & graphics) to key constituencies for monthly & quarterly communications
• Contact students, faculty, administrators, etc., about specific programmatic details and information related to subjects being communicated to key constituencies in printed and web materials
• Work in partnership with the communication directors for Trinity College and The Graduate School to develop and distribute regular communications for the boards and committees served by the Development Office for Trinity College and The Graduate School, which include but are not limited to the following:
o Monthly dean's report to the Trinity College Board of Visitors
o Quarterly dean's report to the Graduate School Board of Visitors
o Twice-yearly report to the Steering Committee of the Duke Financial Economics Center
o Advisory board digital notebook materials for six meetings annually
o Minutes for six board meetings annually
o Maintain web presence for three boards, through collaboration with areas they represent
• Create templates and models for donor relations, including standard acknowledgments from the Dean of Arts & Sciences, the Dean of The Graduate School, and the Director of Duke's Financial Economics Center;
• Research details of gifts that need acknowledgment by academic leadership, and other key officers;
• Draft acknowledgments for deans' signatures, ensuring appropriate personalization, style and timeliness, as well as accuracy of content and syntax;
• Maintain database and files of all donor stewardship materials;
• Create new or enhanced stewardship programs in response to the changing profile of donors;
• Coordinate questions regarding gift credit, acknowledgment letters, etc.
• Serve as the point of contact for board volunteers, coordinate with development colleagues around volunteer participation, and work with senior administration in the schools and units to plan meetings;
• Oversee the communication and board activity as well as coordinate efforts within the team and across the various schools and units; Behavioral

• Bachelor's degree required
• Minimum of 5-7 years of communications or marketing experience with a preference for those who have worked in fundraising, not-for-profits, alumni affairs, public relations, student activities, program administration, or a related field • Demonstrated excellence in persuasive writing and in developing communications/marketing plans • Experience with volunteer management and engagement
• Careful attention to detail • Ability to use Microsoft Office applications • Ability to manage multiple projects and deadlines
• Ability to work autonomously and as a member of a team
• Experience handling confidential information
