The University of St. Thomas invites qualified candidates to apply for a Temporary Family Business Center Coordinator position within the Opus College of Business.

The role of this position is to support the events and programs of the Family Business Center and the Schulze School of Entrepreneurship.

This position will also serve as an administrative support person to the Family Business Center Director, the Schulze School Associated Dean and staff, as well as occasional support of full-time and adjunct faculty in the department of entrepreneurship.

The Family Business Center is a highly visible program interacting with students, alumni and family businesses.

The Schulze School of Entrepreneurship provides undergraduate and graduate entrepreneurship programs, public entrepreneurial and business education, and opportunities for funding new ventures.

Essential Functions:

  • Family Business Center Event Support: Print name badges, order supplies, staff registration table, help with set up and take down of events; send event reminders; create program binders; manage class rosters; order food; reserve rooms; ensure supplies are available for all events; and create and track evaluation results.
  • Schulze School Event Support: includes day of event support, and tracking and processing student prize money for student competitions.
  • Scheduling: Schedule, reserve rooms, order food and attend Schulze School staff and faculty meetings; assist with event timing and scheduling.
  • Database Management: Ensure that database information is up to date with event registrations, interests, and leads.
  • Communications: Provides web and communication support. Help identify opportunities to congratulate family businesses and alumni on achievements, and support sending timely communications to them.
  • Financial Support: Manage the invoice process for the Family Business Center events, which include: Family Business Breakfast Series, Ownership Academy, Roundtables and more. Support other financial processes including submitting reimbursements and assisting with WellsOne reporting and budget reporting.
  • The coordinator will also support, on occasion, other Family Business Center and Schulze School functions as available.

The role of this position is to support the events and programs of the Family Busines, Minimum qualifications: High school diploma or equivalent and three years of administrative experience, preferably in Higher Education.

Knowledge of: computer applications related to the work, which include Microsoft Office suite (Word, Excel, and PowerPoint); knowledge of database commercial products such as Salesforce; office administrative skills; policies and procedures of the department; office administrative practices and procedures; business letter writing and the standard format for typed materials; record keeping principles and practices; correct business grammar to include spelling and punctuation; techniques for dealing with the public, in person and over the telephone.

Skill in: maintaining schedules; organizing meetings and conference calls; event support; reading and explaining rules, policies and procedures; analyzing and resolving varied administrative problems; organizing, maintaining and researching office files; composing correspondence independently or from brief instructions; compiling and summarizing information and preparing periodic or special reports; using initiative and independent judgment within established procedural guidelines; organizing own work, setting priorities and meeting critical deadlines; contributing effectively to the accomplishment of team or work unit goals, objectives and activities; exceptional organizational, communication, and interpersonal relationship skills; and maintaining effective working relationships with those contacted in the course of the work.
