Department Overview
A wide range of student- and faculty-centered services are the cornerstone of the Libraries' integral role in the University of North Texas community. As the most-used service on campus and an essential component of education and research at the University of North Texas, the Libraries offer access to more than 6 million items (print and digital) along with expert personnel to assist patrons in achieving their academic and scholarly goals. We provide innovative programs and support to enhance the relationship between teaching and learning at the University of North Texas.

The Special Collections department collects and preserves rare and unique materials including rare books, oral histories, university archives, historical manuscripts, maps, microfilm, photographs, art and artifacts. Collections are visited annually by scholars from across the country as well as by visitors to our reading room exhibits.

Job Description
* This posting is an hourly position and is non-benefits eligible.

The UNT Libraries at the University of North Texas is seeking to hire a Special Collections Administrative Assistant to join our Special Collections Division.

Responsibilities.of the position include, but are not limited to:
* Maintain spreadsheets containing information on revenue and expenditure for sponsored projects.
* Track student wages on a bi-weekly basis, keeping accurate records of hours worked on specific projects.
* Create invoices for licensing and reproducing request, track orders and payment, deposit funds into appropriate accounts.
* Order and receive supplies from multiple vendors, ensure orders are complete, and direct delivery of supplies to appropriate locations.
* Generate financial reports on a monthly, quarterly and yearly basis.
* Other routine administrative duties such as sending and receiving correspondence on behalf of the department, collecting time sheets and filling paperwork.

Minimum Qualifications
Graduation from High School or GED equivalent and four years of progressively responsible office administration experience. Substitution of education for experience allowed. The following knowledge, skills, and abilities are required:

* Intermediate MS Office skills
* Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others
* Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats
* Ability to conceptualize, plan and organize multiple assignments effectively
* Ability to work on tasks utilizing judgment, tact, and resourcefulness
* Knowledge of basic accounting/budgeting procedures
* Skill in developing and maintaining good working relationships.
* Knowledge of supervisory practices and principles.
* Knowledge of policies, practices, procedures and terminology of assigned function.

Preferred Qualifications
The preferred candidate will possess the following additional qualifications:

* Have excellent communication skills
* Experience using Microsoft Office products, especially Excel spreadsheet
* Education and/or experience in accounting
* Experience working on grants and/or sponsored projects
* Experience working in an administrative capacity at a college or university
