Position Overview

Responsibilities for performing a variety of administrative duties for a large division/college which may include multiple areas. Responsible for day-to-day operations of the department; coordinates of projects assigned; develops office procedures. Initiate correspondence, memoranda, promotional material, forms, newsletters manual and reports. Develops and maintains confidential or complex files. Interprets and advises internal and external customers on programs, policies or rules. Resolve problems that have a significant impact on the overall goals of the department. May have contact with sensitive, complex and confidential information. May be responsible for managing calendars, appointments, chair events and meetings.

Department Specific Essential Job Functions

Performs diversified administrative support to multiple funcational areas within Human Resources.

Provides direct administrative support to the Assistant Vice President of Human Resources.

Resolves non-routine, often confidential, problems in thorough and timely manner; uses discretion and knows who to go to in order to resolve issues and complete tasks. Requires analysis and interpretation of situation and selection of approaches.

Assists with and often leads, the coordination of meetings and major events. Attends meetings and takes minutes and disseminated the infromation to the department.

Routinely covers front office as necessary and the Office Manager's desk when absent.

Independently prepared confidential and sensitive documents and/or correspondence.

May do research for projects and/or assignments.

Interprets policies and procedures as established by UCO.

Reconciles p-card statements and office travel using the Portal and Banner.

Maintain the HR Website and updates when necessary.

Drafts financial, statistical, narrative, and/or other reports as requested.

Compiles data based on research techniques and on statistical compliations involving an understanding of operating unit programs, policies, and procedures.

Will commit RM batches for the Office Manager when requested.
Attendance and punctually are essential function of this position.

Performs other duties as assigned.

Qualifications/Experience Required

Requires a bachelor's degree in field plus 3 years of relevant admin experience, or if no degree, 7+ years of equivalent work experience that provides knowledge of and exposure to fundamental theories, principles, and concepts.

Requires the application of expertise in a chosen field to achieve results.

Qualifications/Experience Preferred

Strong knowledge of Banner.

Knowledge/Skills/Abilities

Excellent oral and written communication skills.

Great customer service skills and the ability to keep calm and speak respectfully even if the situation gets stressful.

Must possess good organizational, analytical and problem-solving skills, along with the ability to work in a collaborative environment.

Must be detailed oriented.

Ability to meet deadlines.

Strong computer skills, especially in Excel and database management.

Physical Demands

Repetitive movement of hands and fingers - typing and/or writing. Frequent standing, and/or sitting. Occasional walking, stooping, kneeling or crouching. Reach with hands and arms.

Visually identify, observe and assess. Ability to communicate with supervisor/students/colleagues. Regular physical attendance required.
