General Statement of Duties:

The Director of Administration will provide high-level administrative and special project support to the Vice President for Facilities Management He/she will serve as the liaison for the Vice President to internal and external constituencies. Independently manage, oversee and implement projects as necessary. Provide timely and effective communications on behalf of the Vice President

Supervision Received:
The Director of Administration works under the supervision of the Vice President for Facilities Management.

Supervision Exercised:
The Director of Administration may provide general direction to Facilities Management staff on matters related to assigned areas of responsibility and as needed to particular professional and office support staff that work on projects assigned.

Duties and Responsibilities:

  1. Prepare background materials, brief the Vice President and edit and provide input on content for upcoming presentations and decisions. May present information to various committees within the University.
  2. Conduct research, analyze issues and produce, edit and distribute special reports and presentations as needed.
  3. Assist the Vice President to develop the content of agendas for standing meetings including, but not limited to meetings with the Senior Officers and Trustees of the University.
  4. Provide management and analytical support for FMD programs, planning and operations to support decision making.
  5. May direct staff in the preparation of paperwork .presentations and the completion of reporting requirements.
  6. Independently manage, oversee and implement special projects as directed by the Vice President
  7. Follow-up on issues to implement decisions as appropriate or resolve open issues and assure that appropriate communication occurs. Ensure the Vice President is well-informed on issues and priorities.
  8. Assist the Vice President in monitoring and reporting on departmental performance metrics and target's
  9. Represent the Vice President serving as a liaison and point of contact for the FMD with areas of the University, especially with external groups, including professional organizations.
  10. Maintain relationships with counterparts at peer institutions in order to research topics, share information and respond to inquiries.
  11. Identify, develop and recommend changes to policies and procedures to respond to change in the internal and external environments.
  12. Develop and evaluate the use of new technology to support activities and achieve Department goals and objectives.

Assist in development performance metrics and targets to assess and report regularly.

Qualifications:
  1. Three years of administrative, management or project management within a complex organization is required.
  2. Excellent communication skills, both oral and written, and demonstrated ability to deal with the public in an effective manner, as well as maintain co-operative relationships.
  3. Strong organizational skills and the ability to effectively manage complex projects.
  4. Ability to pay close attention to detail.
  5. Ability to create concise informational presentations ,condensing complicated issues to summaries that can be understood by a variety of constituents
  6. Demonstrated research, analytical and computing skills required.
  7. Skills in resolving complex and divisive issues.
  8. Self-starter with the ability to handle multiple assignments at any given time ,often under time constraints
  9. Strong collaborative skills, especially with the ability to build positive and effective relationships

Minimum Qualifications


Education

Bachelor's degree. Additional training in Project Management coursework or certification in Project Management is desired. Master's degree preferred.

Experience

Four years of progressively responsible experience in project management, including complex projects involving multiple functional groups. Experience in medical education/publishing, clinical research, or medical product development is desired. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
