ADMINISTRATIVE SPECIALIST I
Job Summary As an assistant to the Department Head (DH), provide support for correspondence, schedule departmental and committee meetings, and assists in preparing administrative reports. Also serves as first point of contact for people contacting the DH, and ensure important administrative tasks get accomplished. Provide administrative assistance with graduate faculty appointments and re-appointments, promotion/tenure, 3rd year reviews, and post-tenure reviews. Coordinate faculty recruitment process by seeking approval for position announcements and ads, maintaining files on applicants received, corresponding with applicants to schedule and plan itineraries and travel plans, and complete process in FacultyJobs for new hire. As a Graduate Coordinator Assistant, take care of processing new applications, making recommendations for acceptance via NOLIJ, submitting calls for nominations for scholarships/awards, graduate student travel, clearing graduate students for registration, maintaining enrolled student records, processing required paperwork and ensuring deadlines are met, processing departmental overrides for courses, serving as liaison between department and Graduate School, preparing assistantship letters, assigning teaching assistants, completing requests from the Graduate School, reviewing Program of Study and Advisory Committee Forms for enrolled students, scheduling, preparing handouts and taking minutes at Graduate Committee meetings. Also serve as a coordinator for Georgia Soft Goods Education Foundation, and make sure that the department Inventory is up-to-date every year. Minimum Qualifications High school diploma or equivalent and four years of progressively responsible office experience OR Associate's Degree and two years of responsible office experience OR Bachelor's degree.
