Position Information: Under the general supervision of the Cash Office Manager, the Cash Office Assistant (COA) provides administrative, cash handling and financial support to Auxiliary Services. The COA exercises independent judgment in solving day to day cash handling and administrative operational problems and makes recommendations concerning departmental resources, policies, controls, and practices. Prepares and processes cash/financial transactions and prepares related documents or reports. Provides daily service and support to departments and units within Auxiliary Services; prepares daily deposit pickups at various locations, replenishes change funds, reconciles daily sales (cash, check, credit cards, campus cards, and all other accepted tenders), and prepares daily deposits for the bank. Interprets and enforces UC policies and procedures, reinforces cash handling responsibilities and requirements with cashiers and managers as outlined in campus and UC policies and procedures. Provides excellent customer service to students, parents, faculty, and staff at all times. Provides other administrative and operational support to the department as needed.

The Cash Office hours of operation are Monday through Friday 7:00 am to 4:00 pm with the possibility of schedule changes due to office coverage and special event requirements. The COA hours may vary depending on operational needs.

Minimum Requirements: Two (2) years' experience in accounting, finance or cash handling; or an equivalent combination of education and experience. Skill and ability to quickly and accurately process cash reconciliation and/or cash transactions. Ability to develop and maintain knowledge of job related principles, theories, and practices necessary to complete assigned duties.

Proficient computer and technical skills, experience with MS Office Suite; ability to create and maintain Excel spreadsheets, use PC and web-based software applications to query data from systems and create forms, spreadsheets, and reports. Ability to keep accurate records with strict attention to detail.

Skill and experience providing excellent client service in a multi-function environment. Ability to deliver high quality, professional, innovative, and responsive service; build collaborative relationships with diverse client groups; actively listen to and resolve client service issues; remain proactive and positive.

Skill and experience delivering timely and accurate financial reports and administrative services. Ability to organize tasks according to departmental priorities; work in a fast paced environment at times with frequent interruptions; prioritize and complete multiple activities within established timeframes; and ask questions or seek clarification when unclear about expectations. Ability to make appropriate job decisions by following established policies, procedures, and best practices.

Skill and experience to independently create clear and concise written communication that is grammatically and punctually correct. Ability to communicate complex policies and procedures, both orally and in writing, using tact and diplomacy.

Skill and experience working in a team environment. Ability to share knowledge with others; develop and maintain effective, professional, and collaborative working relationships with colleagues; and partner with others to solve problems, improve processes, and achieve results that support the operations and mission of Auxiliary Services.

Ability to sit, stand, and walk for variable periods. Ability to use a computer, keyboard, telephone and other office equipment. Ability to bend, kneel, stoop, lift, carry objects, such as boxes of materials, weighing up to 35 pounds, by hand or with the use of a cart or hand truck.

Hired candidate must pass a background check through the Department of Justice (DOJ) and Federal Bureau of Investigation (FBI) prior to appointment start date; must obtain or possess a valid CA Driver License in accordance with California Department of Motor Vehicles; and must participate in the campus DMV Pull.

Preferred Qualifications: Bachelor's degree and/or college level coursework in accounting, cash control, and auditing.

Knowledge of fund accounting principles.

Knowledge of campus and/or University policies and procedures.

Experience with UC systems including CCRRS, UCRFS, UCRFStotals.

Experience with MICROS POS and/or Blackboard.
