Alumni Operations Analyst (Administrative Analyst/ Specialist)


Organizational Description:

The Fresno State Alumni Association is dedicated to uniting and advancing the interests and traditions of alumni and friends of California State University, Fresno, and providing scholarship opportunities that attract and support highly motivated students to the University.

Overview:

This position reports directly to the Executive Director of the Alumni Association to support the general operations, budget, and analytical functions of the Association and serves as the program administrator for the financial, accounting and human resources areas for the Department of Alumni Relations, as well as, the Fresno State Alumni Association, a 501(c) 3. This organization is a large and complex organizational unit with broad impact involving a 30 member Board of Directors and 17 alumni chapters, clubs and networks; including an annual budget with gross revenues over $1,000,000 and two endowments totaling over $5,000,000. Work involves participation in the development, alteration, implementation and evaluation of the organizational unit and the program's policies and procedures.

This position influences all overall objectives and long term goals of the Alumni Association and the individual events and programs under its direction as well. The Alumni Association has high visibility and broad impact within the Division of University Advancement and the overall University. This position is often involved in planning and developing of activities to ensure the accounting of accurate financial procedures are in place for each program and event.

Position Summary:

	
  • Oversee the daily operations of the Alumni Relations office
  • 	
  • Monitor all alumni financial accounts (state, foundation and private) incomes and expenses; maintain and reconcile detailed revenues, expenses and budgets on all accounts; advise and/or determine if expenditures are within the guidelines; and inform management of irregularities and proceeds with corrective action
  • 	
  • Prepare regular administrative and financial reports; analyze, summarize and interpret information and recommend action to be taken
  • 	
  • Work closely with Executive Director to forecast, prepare and implement the Fresno State Alumni Association budget
  • 	
  • Work closely with outside Auditors, CPA's and Insurance Agents to ensure accuracy of Alumni Association's financial transactions and insurance liability
  • 	
  • Evaluates and recommends operational changes to work unit to ensure effectiveness and compliance with 501(c) 3 and University policies and regulations
  • 	
  • Compose confidential correspondence
  • 	
  • Prioritize workload for Alumni office to meet scheduled deadlines
  • 	
  • Prepare reports, participate, and records minutes for Alumni Board, Finance, Executive and Recruitment Committees
  • 	
  • Serve as liaison for payroll matters, payroll certifications, and attendance record keeping
  • 	
  • Participate in regular Alumni Board Meetings pertinent to the Alumni Association
  • 	
  • Independently determine approaches to projects and priorities
  • Knowledge, Skills & Abilities:

    	
  • Thorough knowledge of and ability to apply extensive expertise to complex programs and/or administrative specialties, including pertinent laws and regulations
  • 	
  • Demonstrated expertise in and advanced knowledge of the principles, problems, and methods of public and business administration and operational and fiscal management
  • 	
  • Expertise in administrative survey techniques, operations and systems analysis, statistical and research methods, and the ability to interpret and evaluate results to develop sound conclusions and recommend new or revised policies

  • Demonstrated consultative skills in working with internal and external constituent groups

  • Education and Experience:

    	
  • Bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
  • Preferred Skills:

    	
  • Five years of directly related financial, budget and administrative experience
  • 	
  • Thorough knowledge of policies, procedures and outside regulations pertaining to the accounting and financial practices, pertinent laws and regulations of nonprofit organizations
  • 	
  • Knowledge of principles of institutional planning budget processes
  • 	
  • Knowledge of Microsoft software suite, including Word, Excel and Power Point
  • 	
  • Knowledge of Peoplesoft including HR and Financials
  • 	
  • Knowledge and understanding of state and non-state funds
  • 	
  • A team player with the ability to work in a cooperative environment
  • 	
  • A self-starter with strong organizational abilities, interpersonal skills and integrity
  • 	
  • Demonstrated ability to plan, organize, coordinate and direct multiple projects and activitieswith varied deadlines

  • Skill in the research, development of policies and programs, including skill in the collection, evaluation and interpretation of data to develop sound conclusions and make appropriate recommendations

  • Knowledge of Sage Intacct Cloud Accounting
