The primary purpose of the Administrative Assistant is to provide effective and efficient support for the Associate Deans within the Dean's Office in Bouve College of Health Sciences. The Administrative Assistant works directly with and reports to the Academic Affairs Specialist while providing high level administrative support for the Associate Dean of Faculty Affairs; Associate Dean of Undergraduate Education; Associate Dean of Graduate Education; Associate Dean of Research; and Associate Dean of Clinical Education, Rehabilitation Programs & New Initiatives. Incumbent will be responsible for maintaining calendars, scheduling of conference rooms and events, and other projects as assigned. In addition, incumbent will provide support to college committees including minutes, scheduling, event planning and coordination, and other duties as assigned. Under the direct supervision and guidance of the Academic Affairs Specialist, the Administrative Assistant will periodically assist with a variety of projects including, but not limited to, the Tenure and Promotion process, assessment and evaluation of faculty and student activities, undergraduate and graduate academic programs and curriculum, and new initiatives at the University and College levels.
Bachelor’s degree preferred, with a minimum of 2 years of administrative support experience, preferably in Higher Education. Must be able to multi-task and work independently to manage responsibilities. Demonstrated organizational and time management skills. Proficiency with Microsoft programs [Outlook, Word, PowerPoint, and Excel] and ability to learn new systems. Strong communication skills and experience with or ability to work in an environment with a diverse population. Must be able to handle and manage confidential materials in an appropriate manner.

Skills will include: Ability to multi-task, to prioritize the tasks, and to work both independently and as part of a team. Self-motivation and self-direction to learn new systems/processes and follow through with projects. Strong communication skills including verbal and written. Ability to manage multiple tasks and projects simultaneously. Ability to handle confidential information in secure manner.
Highly organized and detail oriented. Exemplary customer service orientation. Proficiency with computer software (Word, Excel, Outlook, PowerPoint, Publisher, Adobe, Word Press, etc.). Proficiency with office equipment such as copiers, scanners, fax and multi-line phones. Ability to relate well with all professional levels and with people of diverse backgrounds. Ability to provide and respond well to constructive feedback.
