The department manager of the School of Architecture works closely with the Dean to execute policy and strategic direction for the operation of the School of Architecture and participate in short and long-term planning for School operations and activities. The School of Architecture has 12 full-time faculty members, 50 undergraduate majors, 60 masters' degree students and 20 graduate students in the PhD program.
While the Dean establishes the academic and intellectual direction of the School, the department manager provides support for the Dean's vision. The department manager is responsible for ensuring that the faculty, students, and staff in the School of Architecture have the necessary assistance to carry out their academic, research and administrative duties. The manager reports directly to the Dean of Architecture, with a secondary reporting relationship to the Assistant Provost for Academic Management in the Office of the Provost.
The three most important aspects of the department manager's responsibilities are financial management, staff supervision, and academic management. The department manager ensures that all internal deadlines are met and that the School is compliant with all internal guidelines and external regulations. The department manager is responsible for attending all relevant training classes offered by the University pertaining to these duties.
Budget and financial management: The department manager develops the administrative budget for the School, in collaboration with the Dean and assistance from the Business Manager. The Department Manager is responsible for careful and appropriate management of the administrative allowance, any endowed or restricted funds, and any grants or sponsored research. The department manager monitors spending and provides regular and timely analysis and projections of the available funds to the Dean.
Staff supervision: The department manager is responsible for managing a staff of thirteen. The manager ensures clear delineation of staff responsibilities, cooredinates staff activities and ensures all deadlines are met. The manager supervises the hiring, performance reviews, merit increase process and terminations of the administrative and technical staff.
Academic administration: The department manager supervises the administration of the teaching component of the School's activities, ensuring that the School meets all deadlines for the offices of the Dean of the Faculty, Registrar, Dean of the College, and the Graduate School. The manager is responsible for the teaching budget; appointments for faculty and postdoctoral researchers; budget for faculty leaves; submissions for faculty summer salary; appointments of visiting fellows and visiting students; course and enrollment information; graduate student teaching assignments (AIs) in coordination with the DGS; and summer study/research programs.
The department manager is also responsible for:
- Preparing reports for the National Architectural Accrediting Board. The School submits yearly reports and hosts an accreditors' site visit on a six-year cycle. The manager will keep abreast of changes in accreditation policies and procedures.
- Planning, including budgeting and logistics, for international travel by student groups and Architecture classes.
- Oversight of the facilities in the school, including the laboratories and visual resources.
- Minimum of five years in administrative management or related position(s) in higher education and/or non-profit settings.
- Demonstrated experience in budget management and oversight of financial operations, including financial reporting. Ability to think strategically, including the analytical acumen necessary to interpret financial information and manage data.
- Demonstrated excellent communication skills.
- Substantial experience in the supervision and monitoring of staff relations and staff development and delegation of supervisory responsibility.
- Excellent organizational skills and ability to manage multiple priorities.
- Ability to take initiative while exercising sound judgment and decision making.
- Ability to anticipate and initiate appropriate action in support of the dean and faculty.
- Excellent interpersonal skills. Ability to collaborate effectively.
- Excellent oral and written communication skills.
- Advanced Microsoft Office suite skills, especially in Excel, and ability to learn new systems quickly.
- Administrative experience at Princeton University.
- Experience with Princeton systems (Information warehouse, Labor Accounting, Time Collection, PeopleSoft).
- Management experience in an educational setting.
