University of North Texas - Administrative Specialist IV

The College of Liberal Arts and Social Sciences Advising Department at the University of North Texas is seeking to hire an Administrative Specialist IV to join our team. Responsibilities of the position include, but are not limited to:This position provides high-level information and assistance to both visitors and students in the College of Liberal Arts and Social Sciences, as well as providing comprehensive support to administrative and advising staff in the office of Student Advising. Responsibilities include but are not limited to: * Working independently in meeting students, employees and the public, giving information and answering inquiries and complaints about academic requirements and university procedures. * Opening and preparing the Office of Student Advising. Retrieving office voice mail and relaying messages. * Interviewing, analyzing and determining the best source of assistance for visitors and callers and directing to appropriate office. * Interviewing, analyzing and determining how to address the problems presented by a high volume of student calls. * Managing calendar by determining and arranging appropriate appointments for our Academic Counselors, Academic Advisors and five Assistant Deans. * Answering five incoming telephone lines and transferring calls or taking messages as needed. * Receiving visitors who have appointments and contacting Counselor/Advisor in a timely manner. * Maintaining current information posted at the front desk for the benefit of the students. * Assisting with maintenance of extensive and complex Degree Audit Tracking System for over 8,000 students. * Assisting with receiving and logging of advising sheets, change of minor forms, update to new core forms and memos from departments regarding changes to degree plans and audits. * Creating flyers for various events and notifications to students for upcoming deadlines. * Assisting with the scanning and verification of all student file information. * Greeting all customers in a friendly, cooperative and helpful manner. * Providing support to the Administrative Coordinators, Assistant Deans and Associate Dean as needed. * Assisting with the supervision of student workers. The successful candidate will possess a High School diploma or GED equivalent and four years of progressively responsible office administration experience. Substitution of education for experience allowed. The following knowledge, skills, and abilities are required:* Intermediate MS Office skills.* Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.* Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.* Ability to conceptualize, plan and organize multiple assignments effectively.* Ability to work on tasks utilizing judgment, tact, and resourcefulness.* Knowledge of basic accounting/budgeting procedures.* Skill in developing and maintaining good working relationships.* Knowledge of supervisory practices and principles.* Knowledge of policies, practices, procedures and terminology of assigned function.
