  • Work schedule of Monday - Thursday, 4:30 p.m. - 9:30 p.m. Schedule is contingent on Departmental needs and may be switched to day's during non-instructional periods.

OVERVIEW:
Under the direction of an administrator, performs a variety of clerical duties in support of the Chico Center's various Student Services Departments. Duties may require the use of independent judgment and specialized knowledge of the various student services departmental policies and procedures and the available services offered. Provides program support and assistance to students, faculty, staff and the general public on subjects and issues related to the student services areas.



Representative Duties:

  1. Assists in the day-to-day operations of the student services offices located at the Chico Center; assures timely and efficient assistance to students, staff and the general public*
  2. Provides routine assistance and information regarding student services programs, services and policies and procedures, to include the offices of Admissions and Records, Financial Aid, EOPS, Career Center, Job Placement, DSPS, New Horizons, Orientation, Assessment and Counseling to assist students in achieving academic success*
  3. Answers the telephone; provides information and assistance to callers; takes messages and/or routes calls to appropriate personnel or departments; greets and assists office visitors*
  4. Acts as liaison between the Chico Center and the main campus student services offices and refers students, future students and members of the community to the correct resource services*
  5. Sets up, maintains and monitors appointments for the Chico Center counselors, etc. and generates reports related to counseling contacts and services provided*
  6. Establishes, pulls and files student records for appointments with counselors; assures files are complete with transcripts, test scores and other student data as required and are ready for scheduled appointments; schedules appointments and makes reminder calls to students; cancels or reschedules appointments as necessary; assures appropriate entries or requests are noted in file*
  7. Explains to students the correct procedures for completion of forms and applications; reviews completed forms and applications for accuracy and completeness and forwards to Admissions and Records*
  8. Assists with the coordination of various student services activities, including room reservations for staff meetings and student orientations and posts and distributes information related to student services*
  9. Operates a variety of office equipment including computers and associated software to perform data entry, collect data, retrieve information and to prepare documents*
  10. Performs various clerical and office procedures as necessary, including but not limited to scheduling meetings, typing reports and correspondence, copying and filling documents; opening and distributing mail or materials; ordering and maintaining office supplies at an adequate level; revising or creating new forms and form letters, information sheets, schedules, brochures, information packages, etc*
  11. Maintains knowledge of laws, rules, regulations and policies and procedures related to the offices of student services affecting daily tasks and responsibilities*
  12. Maintains departmental equipment and may perform routine troubleshooting of copiers, printers, and other related equipment; calls in work orders to the help desk as required
  13. Resolves daily routine issues; refers non-routine issues to supervisor for assistance and/or resolution
  14. May Interview, train, assign and review the work of student employees in support of services provided in the area
  15. May serve on a variety of District committees as requested
  16. May perform other duties as assigned


Qualifications/Requirements:

MINIMUM QUALIFICATIONS:
EDUCATION/EXPERIENCE:

  • Graduation from high school or G.E.D. or the equivalent*; AND
  • One (1) year of experience directly related to the duties and responsibilities of this class.
*High School education equivalency equals an adult education diploma or four (4) years of full-time, paid work experience.
CERTIFICATES, LICENSES, REGISTRATION AND OTHER REQUIREMENTS:
  • Hold and maintain a valid driver's license throughout duration of employment with the District.
  • Some travel may be required on an intermittent basis to the main campus.

  • Sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity and sexual orientation and ethnic backgrounds of community college students and staff.
DESIRED QUALIFICATIONS:
  • The ability to operate a computer keyboard with proficiency.
  • Two years of clerical experience involving frequent public contact.
  • Experience in an educational setting involving extensive student contact.
KNOWLEDGE, SKILLS AND ABILITIES:
May be acquired through education, training and/or experience.

Knowledge of: District policies and procedures; modern office equipment, methods and procedures including filing and computer systems; letter and report writing; receptionist and telephone techniques; proper grammar usage, spelling, punctuation and vocabulary; computer usage and associated software; interpersonal skills using tact, patience and courtesy.
Ability to: learn and interpret rules, regulations, procedures and policies regarding student services and activities; greet the public, students and staff respectfully and respond intelligently to questions regarding policies and procedures; perform responsible clerical work of average difficulty with speed and accuracy; operate computers and related equipment; keep records and prepare reports; demonstrate computer applications and other skills to students and staff; work independently with an emphasis on detail management, organization and completion of work according to established deadlines; use problem solving skills; understand and follow oral and written directions; establish and maintain cooperative relationships with those contacted during the course of work; make necessary mathematical calculations accurately; utilize keyboarding skills commensurate with the required functions for this position; ability to analyze situations accurately and exercise judgment in taking effective action; work with diverse populations.



Supplemental Information:

WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES:
No assigned permanent staff to supervise. May provide work direction to student employees.

PHYSICAL EFFORT:
Normal office environment. Tasks may require extended periods of time at a keyboard.

CONTACTS:
Faculty, staff, administrators, students and the general public.

WORKING CONDITIONS:
Normal office environment.

PRE-EMPLOYMENT REQUIREMENTS:

  1. The successful applicant will be required to complete a medical history questionnaire and must agree to undergo and pass a pre-employment physical examination, based on the physical requirements of the position, prior to employment. The physician will be selected and paid for by the District. Disabilities not related to the essential physical job requirements will not preclude the applicant from being hired.
  2. Education Code § 87408.6 states that no person shall be initially employed by a community college district in an academic or classified position unless the person has submitted to an examination within the past sixty (60) days to determine that he or she is free of active tuberculosis.
  3. As a condition of employment the position you are applying for will require that you provide fingerprints to the local police department. The fee charged by the Department of Justice (DOJ) for the fingerprint report is the employee's responsibility. If you should be offered this position you will be asked to sign a payroll deduction form which will authorize the District to deduct the fee charged by the DOJ from your first paycheck.
