Job Summary: This secretary will be the first point of contact for and will oversee the efficient operation of the College of Arts and Sciences Dean's Office on the Chicago campus. The position involves providing effective and efficient service to all of the Dean's Office constituents (students, faculty, staff, and visitors). The secretary will direct phone, email, and in-person queries appropriately; manage the physical operation of the office and its equipment; manage calendars; manage personnel files; schedule meetings; and update and process information using Microsoft Office and a range of University technology. This is a temporary position.

Knowledge, Skills and Abilities Required: Supervision/Direction: Individuals at this grade level will work in a semi-structured environment and may often be responsible for managing processes and programs within the department. Individuals must have the ability to think and work independently and make decisions with limited supervisor involvement. Responsibility for Others: Individuals at this grade level may be responsible to train, assign work and oversee the work of part-time hourly staff or other clerical employees. Individuals may be responsible to oversee the efficient operation of the office and the completion and accuracy of other's work. Individuals may process human resources and payroll forms for others in the office. While clerical employees may oversee the work of others, they may not have responsibility to hire, discipline or terminate. Problem Solving, Follow-up, Decision- Making and Planning: Individuals at this grade level must have the ability to suggest and implement solutions to improve processes, make and communicate plans and decisions to others, and follow-up as necessary without instruction by a supervisor. Level of Interaction & Confidentiality: Individuals at this grade level must have the ability to serve and accommodate others at all levels of the University, both in-person and on the telephone. Individuals must have the ability to use sound judgment and communicate confidently orally and in writing. Equipment - Supplies & Maintenance: Individuals at this grade level may be responsible to oversee those with responsibility to maintain office equipment and supplies. Education and Work Experience: Individuals at this grade level must have completed a minimum of two years of college (60 credit hours) and a have a minimum of three years professional office experience. One-year college education may substitute for one-year office experience and vice-versa. Computer Skills: Each MS Office component must be successfully completed at 80% in a proctored setting using Kenexa Prove It! software. #CB

Preferred Qualifications: Demonstrated ability to work within a confidential and highly sensitive work environment. Experience with data analysis and comfort juggling multiple tasks.
