Position Status: Administrative Non-Exempt Positions

Basic Function:
This position will provide a wide variety of support to the team that includes the Co-Directors of the Center for Global Public Safety, the Dean of Engineering and the Director of Engineering Operations. This support will be both administrative and clerical in nature.

Principal Duties and Responsibilities

  • Relieve Co-Directors of handling numerous routine contacts, answer questions, gather information requiring discretion/sensitivity and provide a wide variety of knowledge of office operations and procedures.

    Coordinate meetings and events on campus and in other locations. Responsible for managing complex calendars with frequent changes.

    Prepare and analyze program budget records and provide administrative support for all confidential matters; prepare and process purchase orders and other financial documents for review and approval of the Director of Operations.

    Maintain Center files.

    Compose difficult/sensitive correspondence frequently requiring a high degree of initiative, judgement, originality, and knowledge of the subject matter.
    Use a variety of business or technical programs (PowerPoint, Excel, and Adobe) to complete information management to production tasks.

    Assist with the development and management of the Center’s website, marketing brochures and flyers and other marketing and communication documents and media.

    Other duties as assigned.

    Position Requirements

  • At least 3 years’ experience in an administrative position must be detailed oriented and well organized. Ability to prioritize and manage multiple projects, but knowing when to seek supervisor’s input in determining priorities as required. Communicate effectively with internal and external community; work independently. Must have excellent Microsoft Office skills as well as an ability to learn new software programs.
